Regular work hours are Monday thru Friday 8:00 am to 5:00 pm; however, this schedule may be adjusted based on needs of Department and Supervisor. Extended hours may be required. The Utility Warehouse Worker must be able to comply with flexible work schedule as established by supervisor or management. This position exercises discretion and independent judgment in performing this job. The Utility Warehouse Worker coordinates with the Utility Manager with the overall process of procuring supplies, materials, services. This position is responsible for verifying that all purchasing procedures are followed and that all purchases follow both state and local procurement laws. The Utility Warehouse Worker helps Department Directors in obtaining the best prices for all purchases, prepares requisitions, and issues purchase orders. Oversees all preventative maintenance of Village heavy equipment and vehicles, purchases shop tools and replacement parts and issuing purchase orders to vendors, answers questions and solves customer problems and complaints. Oversees the operations of the warehouse; gathers specifications/information for stock items; prepares and maintains pricing agreements; reviews bids and abstracts for pricing and specification accuracy; orders stock items using pricing agreements, initiates materials requisitions for items not on a pricing agreement. Maintains compliance with purchase orders, pricing agreements, procurement codes, contracts or ordinances; coordinates internal auditing requirements. Reviews deliveries; expedites orders; establishes schedules and systems for shipping and receiving. Prepares reports and records; reviews and/or maintains procedures. Maintains the commodity listing of warehouse inventory; reviews inventory list for discrepancies in unit costs and quantities; monitors inventory flow; conducts spot checks of quantities; determines adequacy of stock levels; maintains records of current stock for re-stocking purposes. Administers perpetual and periodic inventory; analyzes past history and recommends action regarding obsolete and/or excess inventory items. Communicates with vendors, buyers and Village departments regarding changes, additions, deletions and quantities of stock items; confers with vendor representatives regarding specifications and purchases, resolves issues with vendors. Issues parts and materials to work crews for the repair of water, and sewer systems. Orders materials and parts; consults with utility work crews regarding problems with supply orders and ensures problems are corrected. Coordinates orders with the Village Purchasing Office, vendors and user department; records all supply movements. Reviews bids or abstracts; reviews and makes recommendations of specifications regarding warehouse inventory items. Stocks and organizes stock/inventory; performs shipping and receiving of parts and supplies; inspects and arranges stock; inputs material requisitions. Participates in conducting and ensuring accountability of year-end inventories; conducts spot check inventories and resolves discrepancies. Maintains order and safety of the physical warehouse and outside yard. Picks up material from vendors; make deliveries to work crews at job sites. Performs a wide variety of clerical support duties, which may include but not limited to typing, filing, making copies, answering telephone calls, data entry, and assisting Utility Manager with day to day workload Able to work in a diverse environment. Excellent customer service skills, establishes and maintains effective working relationships with other employees, officials and vendors contractors, engineers, and suppliers Knowledge of Village of Ruidoso purchasing procedures and practices and knowledge of Village's inventory policies and procedures Keeps adequate supply of stock items Responsible for spreadsheet of supplies inventory for warehouse consumable products Coordinates with departments in the disposition of surplus property on the online auction site Check documents for accuracy and completeness Organize own work, set priorities and meet deadlines Maintain confidentiality of customers, co-workers, management, and other employees. Notifies the Utility Manager of any real or perceived problems related to the department Demonstrate continuous effort to improve operations, streamline work processes, and work cooperatively and jointly with customers, other staff, vendors, and monitors/auditors Has or will obtain certification in operating Fork Lift Responsible for Maintenance and upkeep of assigned vehicle Clean and maintains warehouse Accepts delivery of goods Writes and completes work orders for maintenance problems encountered or customer service requests Keeps log of daily activities. Installs and removes meters. Communicating in person, in writing and using two-way radios. Advises customers of readings indicating possible leaks or faulty plumbing fixtures. Help water/sewer crews when needed Will be responsible for tracking water and sewer audit Other Responsibilities or Job Requirements Must maintain a high level of computer abilities and keep up with changing technology Coordinate assigned activities with other departments, agencies, and organizations Completes and verifies that personal timesheet is prepared accurately, timely, and ensures time is reported based on actual time worked Adheres to all Village of Ruidoso's policies not limited to IT, and Personnel Manual Reports any suspected fraud and/or abuse to the Utility Manager Ensures that any on-the job injury is reported immediately and followed up with appropriate forms and actions Ensures any reports of harassment are immediately reported so appropriate actions are taken Performs well in a proactive and reactive mindset.
