Administrative Assistant
Provides comprehensive support to the President, Chief of Staff, Vice President, Institutional Effectiveness, and Chief Strategy Officer on a wide variety of complex administrative activities including but not limited to communications, project assistance, and event planning. Examples of Duties: Provides comprehensive administrative support for the Office of the President, Chief of Staff, and Vice President, Institutional Effectiveness, and Chief Strategy Officer; and assists with the Board of Trustees Services Coordinates communications for the President, including writing speeches and preparing presentations for internal and external audiences, ensuring consistency and accuracy in messaging Operates independently, confidentially and exercises considerable judgment when executing instructions on behalf of the President, Chief of Staff and Vice President, Institutional Effectiveness and Chief Strategy Officer Prepares correspondence including letters, invitations, and emails on behalf of the President Manages the President's calendar, scheduling meetings and preparing necessary materials for meetings/events, requiring a high level of confidentiality and accuracy Provides support in planning and executing special projects and events Provides general assistance for grant administration as needed, including preparing and editing letters of support for internal and external grants Provides comprehensive support for all meetings and processes assigned; including but not limited to scheduling committee activities, taking minutes, scheduling rooms, and ordering food service Handles all travel arrangements for President and Chief of Staff and assists with Board of Trustees travel Assists with compiling monthly Board of Trustees packets, agendas and minutes Contacts Board, Cabinet, and Administrative Council to announce meetings, collects appropriate documentation for meetings, and confirms attendance Logs incoming checks and sends to the correct department for processing Schedules meetings and maintains records for Cabinet, Administrative Council and Board of Trustees and other relevant workgroup meetings Receives and handles incoming calls and provides excellent customer service Initiates paperless systems when appropriate, processes purchase requisitions, budget transfers, and expense vouchers Processes travel reimbursements, event registrations, and membership renewals Provides support for the Middle States accreditation process Updates the President's Office and Board of Trustees website as needed Backs up Executive Assistant on policies and procedures updating Enters vouchers for the Foundation as required into Quickbooks, initiates check processing Performs related duties as assigned Typical Qualifications: Education:
Bachelor's degree Experience:
3 years experience in an administrative setting Experience working with Ellucian's Colleague management information system preferred Competencies and Skills:
Strong technology skills to include Microsoft Office products Excellent writing, proofreading, organizational and clerical skills Demonstrated ability to work independently and to make independent decisions Demonstrated ability to communicate effectively orally and in writing Ability to coordinate complex activities with multiple parties, prioritize work and meet deadlines Supplemental Information: Terms of Employment:
This position requires flexible scheduling to include evenings and weekends and duties at any Atlantic Cape location. This position is exempt from the bargaining unit and requires a forty-hour workweek.
