The City of Littleton Police Department has an opening for a dynamic Executive Assistant to provide customer service for internal and external stakeholders, create and maintain administrative processes and procedures, coordinate purchasing, travel, and procurement activities, manage a variety of projects, and provide executive level support to the Chief of Police. The ideal candidate will have strong administrative support experience within a law enforcement setting, demonstrate strong attention to detail, have excellent organizational skills, and a thorough understanding of purchasing and procurement processes. For more information, see the 2025 Benefit Guide. Hiring pay range $37.30 - $39.25 per hour. This full-time position is non-exempt per FLSA and is eligible for overtime compensation. The normal schedule for this position is 7:30am to 4:00pm, Monday through Friday, but the exact times may be flexible. This position works in person at 2255 W. Berry Ave but has the option to telework occasionally as needed and approved. This posting will close at 11:59 pm on 09/02/25. The expected duration of the hiring process is 6 to 12 weeks. Applicants who enter the process but are not selected for employment are not eligible to re-apply for the same position with the City of Littleton for one year. Essential duties and responsibilities include: Determines customer needs and provides information or services. Responds to citizen complaints and resolves appropriately. Tracks department assignments and completes special projects. Receives, tracks and disseminates electronic documents such as subpoenas, and other critical, time sensitive documents specific to department operations. Establishes office procedures and methods and assists with the development of department related policies. Attends private or politically sensitive meetings and may take notes as assigned. Schedules and coordinates meetings for Chief of Police. Coordinates events, meetings, and special functions on behalf of the Chief. Communicates information between Chief of Police and other city department leaders, the city manager, and council members. Identifies and recommends changes to improve communication or processes. Researches, gathers, reviews, analyzes and summarizes data for reports and correspondence. Establishes, updates and maintains manual filing systems and computer software programs to track information. Plays a significant part in the digital management of documents for the department. Arranges travel and prepares required travel related documentation. Reviews and proofreads a variety of information to ensure accuracy of information and consistency with administrative policy, format, and grammatical correctness. Assists in the preparation and administration of the departmental budget including tracking expenditures and other fiscal management as assigned. May lead cross-divisional projects to improve business processes for the department. May serve as an Emergency Worker. Performs other similar assignments and projects as required. Minimum qualifications include: High school diploma or equivalent; and Five (5) years of administrative support experience in a demanding business environment; or An equivalent combination of business education, training, or work experience which provides the knowledge, skills, and abilities required to perform the essential functions of the position may be considered. Must be able to pass a pre-employment background investigation, polygraph, and drug screen. Preferred qualifications include: Experience working in a law enforcement environment Experience with Workday for purchasing and procurement Knowledge, skills, abilities include: Requires outstanding interpersonal and communication skills, both written and verbal. Ability to manage competing priorities and deadlines in a calm, organized manner. Strong time management skills with ability to organize and schedule meetings and activities efficiently. Advanced knowledge of principles and processes for providing customer and personal services. Ability to maintain confidentiality, and exercise political savvy and discretion at all times, utilizing sound judgment and discretion when disseminating information to others, including the general public. Knowledge of business and management principles. Ability to lead others effectively and gain cooperation without having formal authority over them. Ability to manage multiple projects or programs as assigned. Ability to work independently, set objectives and determine how to proceed. Ability to act, change or challenge decisions to meet performance goals or commitments. Advanced attention to detail and accuracy. Requires considerable judgment, tact, discretion, and initiative. Advanced technology skills with Microsoft applications and applications specific to area of assignment. Working environment and physical activities include occasional lifting, carrying, pushing and pulling objects weighing up to 25 pounds with or without assistance.
