We’re hiring a Proposal Specialist to lead and support pursuits for prime and subconsultant opportunities across the U.S., with a focus on transportation and public-sector clients. The position is part-time with the potential to transition to full-time. This role requires integrity, professionalism, excellent leadership, time-management, and oral and written communication skills. Responsibilities • Review RFIs, RFPs, and RFQs. Interpret requests and solicitations, build a straightforward compliance matrix, set the schedule, and prepare proposal materials on time. • Lead proposal kickoffs, check-ins, and keep technical contributors aligned through submittal. • Write and edit proposal content, including resumes and project descriptions; refine language to highlight experience; ensure grammar, consistency, and compliance. • Prepare SF330 forms for prime and subconsultant opportunities. • Complete agency forms and DBE/DVBE statements; coordinate Cal eProcure or other portal uploads when required. • Build on-brand layouts in Adobe InDesign; manage styles/graphics; package final PDFs and hard copies. • Run pink/red/gold reviews, apply feedback quickly, capture lessons learned, and support client debriefs. • Keep templates current, curate the content library, and track simple pursuit metrics. • Craft short social media posts to support pursuits or wins. • Prepare and update project sheets and resumes in multiple formats. • Transfer content into client-requested formats. • Create organization charts in InDesign (INDD). • Develop offline content to support website updates. • Participate in meetings (in-person) or via Teams, as needed. • Travel to attend pre-proposal meetings and/or deliver proposal packages, as needed. • Bachelor’s degree in Marketing, Communications, or English Language/Literature • 5+ years of AEC proposal experience supporting or leading complex pursuits • Expertise in Adobe InDesign; proficiency with Microsoft Word, PowerPoint, Excel, and Adobe Acrobat and Bluebeam • Excellent written and verbal communication skills • Strong time management and ability to work well under pressure • Creative thinker with strong attention to detail • Graphic design Compensation • Full-time W-2: $80,000 - $115,000 (dependent on experience and location) Equal Opportunity Employer 3Vi is an Equal Opportunity Employer.
