The School Operations Specialist is a full-time non-exempt position that provides essential support to Boston Ballet’s daily operations, administration, and customer service for its educational programs. Boston Ballet School (BBS) serves a diverse and inclusive population across three School locations: Boston (19 Clarendon Street), Brookline (1431 Beacon Street), and Newton (153 Needham Street). As an integral part of the School’s administration, they report(s) to the Manager of Operations and work closely with the School artistic and administrative leadership teams. They will act as a point of contact for faculty, staff, and customers during BBS classes. They will maintain a positive, comfortable environment in the studio and communicate regularly to faculty and leadership. The School Operations Specialist will develop and maintain positive relations with parents and students and assist the BBS team in enrolling and retaining prospective and existing customers. By way of their day-to-day work as well as discreet projects that they are assigned, the School Operations Specialist will have opportunities to develop skills in key major administrative areas, such as human resources/staffing, marketing, budget planning, operations, events planning and program design. This is an ideal learning position for someone with a passion for growing their career within the arts. The School Operations Specialist works Monday through Friday, with some evening and weekend work required. RESPONSIBILITIES Studio Administration Fosters positive relationships with existing and prospective education families. Provides ongoing support for customers; responds to questions and needs by phone, email, and in-person. Maintains student attendance records, including attendance book upkeep, recording absences, scheduling make-up classes, and monthly attendance audits Prepares, schedules, and follows up with prospective customers on placement/registration results Assists with the collection and recording of class tuition, administers open adult classes and other related transactions Interviews, hires, and trains part-time Studio Administrators and maintains Studio Administrator schedules Meets 1 or 2x per month with studio administrators and coordinates studio administration training sessions Covers studio administrators’ schedules where and when necessary Daily Operations

(School and Summer) Covers open adult class check in 1-2x per week Oversees and coordinates weekly schedule grids including: creating weekly grids, confirming schedules with artistic leadership, and distributing grids to BBS team Handles office management needs including ordering office supplies, maintaining collateral materials, bulletin boards, and office machines (copiers, printers) Collaborates with other departments, mainly regarding IT and facility management Supports all BBS programmatic events (Open Houses, Parent Observation Weeks, Spring Performances, etc.) and other BB Operations, events and activities as requested Oversees the management of customer service email inboxes Responsible for enrolled student communication and engagement strategies to support retention and overall satisfaction – support BBS marketing team email and social media functions Operations Support Oversees monthly financial tracking and reconciliation Assists in preparation of school wide meetings Supports any student escalations Coordinates year-round Wellness Clinics and Physical Therapy appointments Attends weekly BBS team meetings and institutional meetings as a School representative Please be sure to include a cover letter with your resume when you submit an application to be considered for the position. Requirements The successful candidate will be highly organized, proactive, and demonstrate a positive, helpful attitude at all times in order to support the BBS team and maintain smooth operations in a busy work environment. He/she/they will possess excellent communication skills (written and verbal) and be able to manage multiple priorities while maintaining a professional demeanor. Must enjoy working with students and parents in an educational environment.
