Under supervision and in consultation with the School Director, coordinates the School class schedule, studio assignments, and production/technical needs for all programs, including the school year programs, summer session, Student Showcase performances, and the Trainee Program. Serves as executive assistant to the School Director, ensuring seamless functioning of the School Artistic office, including travel, correspondence, and planning. Acts as primary point of contact between administrative and artistic staff to create information flow between School functions. Serves as liaison to the Artistic Department for scheduling and studio reservations. Responsibilities

Artistic Administration: class schedule development, studio usage, and other scheduling and communication Master scheduler for the department for all studio usage for all programs (School year, Summer Session, Adult Workshop, Dance Camp, Faculty professional development, Other School programs) Coordinate day-to-day School class schedule with the School Director, including development of next year’s schedule and teacher assignments Coordinate with School Director and Pianist Supervisor when conflicts arise, track faculty away dates, guest faculty schedules, School Director’s meetings, pianist away dates, and communicate adjustments to administrative and artistic teams via weekly emails Schedule annual School Demonstrations, Level 1, CSP, and other in-house presentations; ensure studio setup as needed Act as liaison to the Artistic department regarding scheduling and student usage in company productions and events Coordinate and approve use of School studios with Artistic and other SF Ballet departments Coordinate parent class observations and ensure studio setup Ensure studios are orderly and ready before classes (barres/AV carts) Produce department master events calendar; track volunteers and setup needs Determine video needs for classes and rehearsals with the School Director and ensure media/music is available; liaison to Production for video cart support and train staff on video carts Responsible for School Director’s access to department photo and video archives; point person for photo, video, and publications approvals Schedule interviews for School Director, students, and other staff as needed Coordinate schedule and details (costumes, student volunteers) for character appearances for Marketing, Development, and Education, including special events With School Director, assign and monitor teaching assistants Performances and Touring

Trainee performances and presentations Coordinate in-house performances with SF Ballet Development staff, BRAVO leadership, Artistic Staff, Production team including Wardrobe, and others as needed Assist with Trainee participation in special events, festivals, and competitions, including travel logistics and enrollment/participation requirements Produce cast sheets and printed programs; act as liaison between the School and outside venues to provide PR materials and photos Coordinate travel logistics for Trainee activities and touring Executive Support to the School Director

Manage the School Director’s calendar, appointments, meetings, and travel; anticipate conflicts Screen and prioritize incoming communications; draft correspondence on behalf of the School Director Coordinate domestic and international travel (excluding audition tours) Prepare and submit expense reports; organize and maintain files; ensure confidentiality Maintain confidentiality on student, faculty, and organizational issues Perform other duties as required or assigned Qualifications

Education Level and Focus:

College degree 5+ years administrative experience. Focus on administration, communication, computer skills; interest in interacting with children and adolescents; knowledge of the arts and ballet a plus. FBI and California DOJ background check required. Professional and Technical Competencies: Clear verbal and written communication with faculty, Trainees, staff, and others; ability to build relationships and work in a team; diplomacy and tact Proficient in Microsoft Office and scheduling software; knowledge of video/photo editing and archive software Maintain documentation and files; manages school library usage Ability to prioritize multiple assignments and communicate problems to supervisor Strong proofreading and writing skills Discretion with sensitive information; responsiveness to students, parents, faculty, and staff concerns Fluency with company needs for student participation in ballets and SF Ballet casting and technical needs for Trainee Program and Spring Performance Maintain utmost discretion and confidentiality Physical Demands: Ability to lift 30 lbs; occasional weekend and evening work Special Equipment Used: PC and software (Microsoft Office, Spotlight/Filemaker Pro, FACTS, photoweb); SFB photo and video editing/archiving software; AV knowledge for studio and events Application Procedure
