We are seeking a highly capable professional to serve as
Executive Business Partner and Senior Executive Assistant to CEO —a hybrid role that blends precise executive support with several chief-of-staff duties. This individual will operate at the intersection of strategy, execution, and administrative excellence—serving as a force multiplier for the CEO of a fast-paced, mission-driven healthcare organization.
As a critical extension of the CEO’s office, you will ensure every interaction, meeting, and moment is purposeful, well-executed, and aligned with the CEO’s goals and the organization’s broader vision. You will manage high-level administrative operations with polish and precision while also advancing strategic initiatives, driving follow-through across the enterprise, and supporting organizational alignment at the executive level.

You Will
Executive Support & Strategic Partnership
Serve as a trusted advisor and right hand to the CEO, anticipating needs and enabling focus on strategic priorities.
Own complex calendar and time management with a proactive approach to prioritization, scheduling, and protecting CEO’s bandwidth.
Coordinate intricate travel arrangements, ensuring seamless logistics and contingency planning.
Prepare briefing materials, talking points, and strategic documents for CEO engagements including Board meetings, media appearances, and executive sessions.
Draft and edit high-level correspondence, speeches, and presentations with attention to tone, messaging, and brand alignment.
Office of the CEO Management
Ensure smooth day-to-day operations of the CEO’s office, acting as a central point of coordination between the CEO and internal/external stakeholders.
Act as a conduit between the CEO and executive team, helping drive alignment, follow-through, and organizational accountability.
Partner with the Chief of Staff and other senior leaders on enterprise-wide initiatives and key decision-making processes.
Maintain systems to monitor and track key deliverables, ensuring timely execution of strategic priorities.
Project Leadership & Special Initiatives
Lead or support select special projects and organizational initiatives on behalf of the CEO.
Create frameworks and workflows to manage project timelines, dependencies, risks, and milestones.
Drive follow-up from CEO-led discussions and initiatives, ensuring decisions translate into measurable actions.
Meeting & Stakeholder Engagement Excellence
Plan and execute high-impact meetings, leadership offsites, and executive retreats—ensuring clear objectives, tight logistics, and strategic outcomes.
Create and disseminate agendas, minutes, and action plans, holding teams accountable for follow-up and deliverables.
Serve as a trusted representative of the CEO in meetings or communications when appropriate, upholding the highest standards of professionalism and discretion.
Leadership & Administrative Team Collaboration
Act as a mentor among the organization’s administrative professionals, modeling excellence and share best practices.
Contribute to a culture of trust, high performance, and continuous improvement across the administrative function.

Your Qualifications
8+ years of progressive experience supporting senior executives, with at least 3 years supporting C-level leadership in a healthcare, government, nonprofit, or similarly complex and regulated environment.
Exceptional written and verbal communication skills, with a proven ability to write, edit, and present complex materials for executive audiences.
Ability to operate in extremely fast paced and dynamic environments.
Strong project management skills with the ability to manage competing priorities and deadlines across a diverse range of stakeholders.
Impeccable discretion and judgment in managing confidential and sensitive information.
Highly organized and systems-oriented, with acute attention to detail and the ability to thrive amid ambiguity.
Executive presence, emotional intelligence, and relationship savvy.
Willingness to support tactical responsibilities (e.g., calendaring, travel, expenses) while operating as a strategic thought partner.
Bachelor’s degree required; advanced degree or professional certification a plus.
What’s in it for you?
Base Pay Range: $165,000.00 to $200,000.00 annually
Work Mode: Mostly Onsite (In the Long Beach, CA office 2-3 times a week on Tue/Wed or as needed)
