Salary

Support Salary Scale Grade S13:

$31.91 per hour; starting Under the Fair Labor and Standards Act this position is

non-exempt

from overtime. Actual salary placement will be in accordance with the salary procedures of the Frederick County Public School System. Please see linked salary scale for the full range.?

Role

This position provides executive assistance to an assistant or associate superintendent, executive director or one or more directors. This individual must possess a high level of skill and experience, along with the ability to work well independently.

Essential Functions

Reporting directly to the Central Office Administrator, the Secretary performs the following duties:

Uses experience and judgment to resolve problems and prioritize work on behalf of the department. Maintains proficiency in the use of technology to meet administrative needs and trains others as needed. Prepares reports and presentation materials for executive meetings and the public on behalf of the school system. Maintains financial records, grants and payroll records/reports. Composes correspondence. Orders and receives supplies and checks invoices. Prepares, types, and proofreads materials. Uses automated systems. Maintains hard copy and electronic filing systems for data. Answers telephone, takes messages, greets visitors, makes appointments, and gives information. Distributes mail and supplies. Prepares materials for meetings, conferences, and workshops. Assists in scheduling use of facilities. Handles highly confidential system information. Maintains property accountability. Serves as a resource and trainer for other secretarial staff. Manages the office in the absence of a confidential secretary. Performs other duties as assigned by the Central Office Administrator.

Required Qualifications

High school diploma or equivalent (G.E.D.) Five (5) years of secretarial experience. Demonstrated proficiency in the use of office technology to meet administrative needs. Demonstrated ability to effectively use word processing, database, spreadsheet, and email software. Demonstrated ability to maintain confidentiality. Demonstrated ability to communicate clearly and concisely in oral and written form. Demonstrated ability to work under pressure and maintain flexibility. Demonstrated strong human relations skills. Demonstrated proficiency in business math. Demonstrated ability to work independently. Capable of performing the essential functions of the position with or without reasonable accommodations. Regular and predictable attendance. Preferred Qualifications

Working knowledge of the general organization and functions of the major units of FCPS. Demonstrated net keyboard rate of 55 words per minute, demonstrated proofreading proficiency, and creation of a table in a word processing program. Demonstrated ability to manage an office, train, and supervise others. Demonstrated ability to anticipate work demands and to be pro-active. Demonstrated evidence of continuous professional growth. Demonstrated strong human relations skills, with adults and students, which have created a positive and inviting work environment. Relevant experience. Familiarity with the FCPS policies, goals and programs.
