Summary/Objective
The Office Manager is accountable for ensuring a smooth and efficient office environment and elevating the productivity of Pearl's team. The position is the first point of contact for all visitors and encompasses a range of accountabilities-from daily office operations to long-term project management
Essential Functions
General Office • Serve as front desk representative and receptionist. • Screen incoming calls and emails & distributes to appropriate team. • Manage conference rooms, space requests, technology needs and catering • Code invoices for departments, match purchase orders to invoices • Scheduling meetings, updating powerpoint decks, agendas, travel, and processing of reimbursements • Maintain corporate directory • Gather, create and disseminate internal calendar to include key internal dates as well as networking events. • Collecting & distributing mail; arrange courier and FedEx services • Activating/Deactivating Cards: Handle the activation and deactivation of access cards or key fobs for tenants and associates. • Activate Door Fobs: Ensure that door fobs or access cards are activated and functional for authorized users.Tickets/Refunds: Process and manage tickets, inquiries, and refund requests related to property services or access. • Validations: Manage validation processes, such as parking validations or access validations for tenants or visitors. • Manage administration of Associate Feedback Program in partnership with QRE
Office Management • Oversee daily operations of corporate office-including operational budget, contract services (cleaning, facilities, subscriptions), IT liaison services, and workorder requests • Order, receive, stock, and distribute all requisite supplies • Manage office inventory (equipment, art, furniture, computers, appliances, etc.) • Partner with People & Culture to support recognition and programming initiatives (Makers Meetings, Townhalls, On & Offboardings, etc) • Cultivate all associate workspaces to reflect company culture. • 6 S projects • Manage office space and infrastructure planning • Support teams in event planning and logistics to include catering, location (townhalls, off sites) • Maintenance of all professional memberships and logistics
Required Education and Experience
Associate degree. Minimum 5+ years administrative and coordinative experience
