Executive Assistant to Chief Executive Officer Provides support to the Chairman & CEO. Job duties range between providing general administrative support to completing daily personal tasks. Job requires someone who is self-motivated and extremely organized in what can be a busy environment. Responsibilities include but are not limited to: heavy phones, heavy scheduling, reading, script coverage, taking notes and tracking projects. This is not an entry-level or starter position; job details are listed further below.

The CEO is hands-on and is actively involved in all aspects of the company between development, production, sales, marketing/publicity, and BA/legal. The company has divisions for scripted film and TV, unscripted TV, documentaries, and Family/YA.

Duties and Responsibilities

Coordinates calendar and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness.

Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls.

Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.

Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.

Reviews and responds to daily internal/external mail and overnight packages.

Creates and updates management reports as instructed by supervisor.

Assists with special projects and perform other related duties as assigned by senior executive team. Maintains highly organized filing system, files correspondence and other records.

Attends meetings and other functions as needed.

Prepares work agreements and proposals and maintains appropriate records and files.

Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.

Exercises considerable judgement and discretion in handling requests for appointments and telephone calls.

Meets and greets visitors in a courteous and professional manner.

General clerical duties including but not limited to filing, photocopying, and mailing.

Qualifications

Bachelor's degree (B.A.) or equivalent. Candidates must have a minimum of 2 years of executive administrative work experience; entertainment/media/advertising experience is a plus.

Excellent verbal and written communication skills.

Proficient in Microsoft Word, Microsoft Outlook, Microsoft Excel.

Professional appearance and demeanor.

Ability to work on complex projects with general direction and minimal guidance.

Compensation and Benefits

Minimum annual compensation of $50,000

Health, dental, vision, short-term disability, long-term disability, and life insurances (eligible on first full month of employment)

Eligible for 401(k) retirement plan subject to plan terms (eligible 3 months from date of hire).

Paid holidays (10 business days per year) and telephone plan reimbursement.
