Overview Title:

Executive Assistant

Onsite Expectation:

First month 5 days onsite; thereafter 4 days onsite, Fridays remote

Hours:

Standard Mon-Fri, 40 hrs/week

Off-Hours Expectation:

Occasional late hours as needed

Compensation Base pay range:

$100,000.00/yr - $125,000.00/yr

Base:

$100,000–$125,000

Bonus:

Discretionary, based on individual and company performance

Company Overview This is a global professional services firm with a small but growing local office. The office currently has a small team with plans for significant growth over the next five years. The environment emphasizes warmth, inclusivity, and support, with mentorship opportunities and strong leadership presence.

Role Overview The Executive Assistant will provide professional, high-level administrative support to the Managing Partner and other fee earners in the office. This newly created role will be the first EA in the office and is critical to ensuring smooth operations, optimizing executive schedules, and enabling the leadership team to focus on strategic priorities. The ideal candidate will be proactive, professional, highly organized, and capable of managing sensitive information with discretion.

Responsibilities Client & Executive Support

Manage complex calendars for the Managing Partner and other fee earners, prioritizing meetings and engagements.

Coordinate domestic and international travel, ensuring efficiency and accuracy.

Handle billing and track time, supporting compliance with firm procedures.

Prepare and edit correspondence, presentations, and documents with a strong eye for detail.

Administrative & Team Support

Provide general administrative support, including filing, scanning, and managing office systems.

Support the team collaboratively, covering colleagues as needed and assisting with ad hoc projects.

Act as a point of contact for fee earners, internal teams, and external stakeholders.

Financial & Business Development Support

Submit and manage expense claims for fee earners and assist with billing processes.

Maintain accurate contact databases and assist with business development initiatives and marketing materials.

Support office events and other business development activities as needed.

Qualifications

Bachelor's or Associate's degree preferred.

3–5 years of experience supporting executives, preferably in legal or professional services.

Strong technical skills with Microsoft Office (Word, Excel, PowerPoint, Outlook).

Excellent communication, organizational, and interpersonal skills.

Ability to handle sensitive and confidential information with discretion.

Proactive, independent, and capable of problem-solving under pressure.

Flexible, adaptable, and a strong team player.
