Description The

Office of Strategic Resources & Government Affairs

is seeking a highly motivated and technically skilled administrative professional to provide support to all areas of office operations. The position will include scheduling, assisting with accounts payable, coordinating with departments and consultants to accomplish project goals, professional correspondence, and general clerical support.

Duties and Responsibilities

Review and process incoming invoices prior to submitting to Accounts Payable, and provide backup for fiscal staff and other tasks as assigned. Update and maintain databases, create queries and reports; research public records and ensure compliance with document retention requirements, technical and scheduling support; perform a variety of administrative/office support functions, including typing, mailing, copying, and file maintenance. Prepares and analyzes reports from various data sources; reserves conference rooms; performs data entry, assists with new staff onboarding, training, verifies employment; assists with employee evaluations, forms, benefit changes, FMLA, and filing; assists applicants with the job application process; offers information and answers questions for employees regarding human resources. Reconcile vendor payroll records, contract documents, and supporting documentation with internal records and invoice submissions. Schedule and attend meetings, record and/or keep meeting minutes, disseminate program information; prepare and generate employee travel documentation related to meetings and classes outside of the office, including registration, flight, and hotel. Organize meetings and travel for department staff. Facilitate the purchase of office supplies, equipment, and other department needs. Answer multi-line telephone lines and assist walk-ins; review and distribute mail; draft documentation for internal and external stakeholders, and coordinate with the Communications team as required for press releases and public communication. Use technology to support and organize office operations, such as Microsoft Word and Excel, Outlook, Teams, Smartsheet, and other software as needed. Perform related work as assigned. Education, Experience, Licensing Minimum Qualifications

Any combination of education and experience equivalent to an associate degree in business administration, public administration, finance, human resources, or a closely related field. One year of clerical, administrative, secretarial, or closely related office support experience. Possession of a valid driver's license with an acceptable driving record is required. Preferred Qualifications

Two or more years working in an administrative support role. Knowledge and experience with public records, records management, and retention schedules. Experience working with federal or state funding sources Supplemental Information

are Monday through Friday, 8:00 am to 5:00 pm.
