The Administrative Specialist performs complex administrative assignments in support of the Superior Court Training Department. This role ensures the efficient planning, coordination, and execution of training programs for judicial officers, court staff, and other personnel. The ideal candidate will be detail-oriented, highly organized, and capable of handling confidential information with integrity and professionalism.

High School Diploma or GED Experience:
Two (2) years of clerical or administrative experience OR
Combined education and experience qualifications:
An equivalent combination of education and job-related experience may be substituted on a year-for-year basis. Knowledge, skills, and abilities:
Knowledge of:
Microsoft Office (Excel, Outlook, Teams, Word) Office procedures.
Skill in:
Microsoft (Excel, Outlook, Teams, Word) Operating office equipment including fax machines, copiers/printers, and computer terminals. Communicating effectively in verbal and written form Task organization and multitasking Attention to detail and commitment to quality and confidentiality Ability to:
Effectively utilize the Learning Management System (LMS) database Maintain spreadsheets and data Work independently and collaboratively in a fast-paced environment Essential Job Tasks

Coordinate scheduling and logistics for training sessions, orientations, virtual classes/webinars, and continuing education programs. Assist with the preparation, proofreading, and distribution of training materials and manuals. Maintain and update training calendars, records, and Learning Management System (LMS) database. Prepare training materials, handouts, agendas, and evaluation forms. Track attendance, process rosters and registration, collect feedback and generate reports on training outcomes and participation. In coordination with the Procurement department, assist with financial processes by tracking training-related expenses and processing invoices, exercising judgment to ensure compliance with budgetary constraints and procurement rules. Provide general administrative support including filing, data entry, correspondence, document formatting, answering phones, receiving and responding to email, and creating documents. Ensure classrooms have necessary supplies for training sessions Monitor and manage training department inventory such as supplies, equipment, refreshments, and printed materials. Respond to inquiries related to training schedules, eligibility, and program content, interpreting policy or procedural information as needed without direct supervision. Perform other administrative tasks and special projects.
Working conditions:
Upon successful completion of a probationary period, this position may be eligible for a hybrid work schedule.
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull, or lift up to 50 pounds. Position may require occasional early morning or evening hours to support training events.
The position will be primarily located at the Downtown Justice Center, but the employee may be required to travel to other locations for coverage and training coordination based on the needs of the department.
