The Inspections Dispatcher and Administrator is responsible for initiating and conducting the administrative functions as required, by fully assisting and ensuring the clerical operation of the division. They will be responsible for providing communication and support services to the applicable technicians and other office staff, will coordinate the scheduling of all inspection technicians, and will assist the Division Manager as well as other branch personnel including key managers in a variety of administrative roles.
The salary range for this position is $22.00-$25.00 per hour depending on experience.
Job Responsibilities
Schedule and dispatch technicians as well as required parts or equipment to appropriate locations according to customer requests, specifications, or Relay work orders, messages, and information to or from customers, technicians, supervisors, field inspectors and other relevant Confer with customers or supervising personnel to address questions, problems, and requests for inspections or required equipment. Prepares and maintains accurate records of customer communication and inspection Acts as national accounts coordinator for the inspections department and is responsible for retrieving work orders from various platforms and scheduling them with the proper inspection Enter, update, and retrieve information via multiple computer Upload, send, receive, and file all inspection reports to various websites and/or other software platforms as Responsible for assisting with billing inspection jobs per office Accountable for certificate of insurance Assist with completion of setting up new job/ projects, data, and budget Assist and support collections administrator with all accounts Work with customers and internal staff to keep projects moving Assist in completing special reporting and licensing Complete special projects as required and/or other duties as Accomplish responsibilities as required using business software as approved by Offer suggestions and solutions on improving efficiency of general office Job Qualifications
Schedule & Dispatching experience is Efficient computer skills with working knowledge of Microsoft products such as Outlook, Word and Excel and other business software Excellent written and verbal communication Must be well-organized, proficient in multi-tasking and possess time management Puts forth a courteous, friendly, helpful attitude at all times when answering the phones and dealing with both other associates and customers. Ability to pass a pre-employment drug screen test and background Basic secretarial and administrative experience preferred. Able to function and thrive in a fast-paced
