Essential Duties and Responsibilities:
Consult with employees, management, departments, governing bodies, vendors, and others regarding employee benefits and services provided, with a focus on the administration of leave of absence and team functions.
This role includes benefits administration for several types of leave of absence, including: Family Medical Leave Act ( FMLA ); Paid Parental Leave; Family Illness; Disability (short-term, extended, and long-term); and Voluntary Shared Leave Program; Bereavement, Military, Educational/Professional/Scholarly leave; and Leave without pay.
This position works with more than 4,000 faculty and staff, as well as temporary employees who meet eligibility for benefits.
Process leave cases (65%):
Serves as subject matter expert
Consults employees regarding eligibility, impacts to benefits, and processes
Reviews applications and determines eligibility for benefits
Scans/files documents received and completes system entries
Completes and sends required forms and communications
Reviews medical certifications and provides instructions if incomplete/insufficient
Makes decisions to approve/deny cases
Reviews Fitness for Duty ( FFD ) certifications and processes returns
Refers cases to the ( ADA ) Coordinator, as needed
Updates the system to close cases
Collaborates with others to gather information, follow up, and resolve issues
Generate reporting (10%):
Reviews data from designated systems to monitor current cases
Determine and take actions needed within established deadlines to ensure compliance with federal, state, and university rules and regulations
Audits cases and works with employees and departments to adjust timekeeping/leave entries
Creates monthly and ad hoc reports to provide compliance updates to the LOA team and leadership
Benefits continuation and billing (10%):
Counsels employees on benefits continuation and conversion/portability options, waivers, and accelerated benefits specific to the type of leave of absence
Generates benefits billing, according to employees’ decisions about continuation, and processes transactions
Reconciles premiums and takes appropriate actions
Policies/Procedures, and Process Documentation (10%):
Researches and interprets policies for leave of absence ( LOA ) cases
Consults with LOA team, leadership, legal affairs, and other departments as needed
Identifies and implements process improvements
Creates and updates process documentation
Provides other support (5%):
Provide general benefits team and project support
Provides other consultations/benefits administration, as assigned
Conducts benefit presentations
Provides support for benefits open enrollment and events
Other related duties as assigned and desired
Minimum Experience / Education:
Related Bachelor’s degree and
One year of progressively responsible professional human resources experience; or
Equivalent combination of training and experience (degrees must be from appropriately accredited institutions)
Preferred Education Skills and Experience:
Benefits administration experience
Advanced Excel and Google experience
State benefits experience
Ability to communicate effectively in writing and verbally
Ability to gather data, compile information, and prepare reports
