We are seeking a

professional, detail-oriented Administrative Assistant

to support the day-to-day operations of our office. This role is essential in ensuring smooth communication, efficient workflow, and effective coordination across departments. The ideal candidate is organized, adaptable, and proactive, with strong communication and multitasking skills. Key Responsibilities

Administrative Support

Assist with scheduling meetings, maintaining calendars, and booking appointments

Manage incoming and outgoing mail, packages, and courier services

Perform general clerical duties such as filing, photocopying, scanning, and data entry

Maintain office supplies and place orders as needed

Prepare and format documents, reports, and presentations

Communication & Coordination

Answer and direct incoming phone calls and emails professionally

Coordinate communication between departments and external vendors or clients

Provide support for internal and client meetings, including preparing agendas and taking notes

Customer Service

Greet and assist visitors and clients in a courteous and professional manner

Provide accurate information regarding services and redirect inquiries to appropriate personnel

Operational Support

Support accounting, sales, and project management teams with administrative tasks

Help track and organize project documentation and records

Qualifications

High school diploma or equivalent; additional administrative or business education is a plus

Proven experience as an Administrative Assistant or in a similar office support role

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Excellent written and verbal communication skills

Strong organizational, time management, and multitasking abilities

Ability to handle confidential information with discretion

Preferred Skills

Familiarity with the signage, construction, or design industry

Experience using office equipment (e.g., printers, copiers, multi-line phone systems)

Bilingual (English/Spanish) is a plus
