Summary/Objective As a Records & Information Management Specialist, you will play a vital role in maintaining the integrity, accuracy, and security of our records and data. This position supports smooth business operations by managing document workflows, retention schedules, and interdepartmental communications.
Essential Functions Mail & Document Handling
Sort, log, and distribute mail and packages throughout the building Track and maintain records of incoming/outgoing mail Operate and maintain mail service equipment (postage machine, inserter, scanners)
Records Management
Prepare, scan, and index accounts receivable, claims, legal documents, and daily mail Shred documents per Document Retention Guidelines Investigate and route claims forms appropriately
Returned Mail & Data Workflow Management
Log returned mail cases into Salesforce with scanned documentation Process returned mail by scanning and indexing for appropriate distribution Manage National Change of Address (NCOA) data loads to request updates member records Handle Bad Address batch loads from LexisNexis to support data accuracy and member outreach
Administrative Support
Deliver supplies for small mailing projects Respond to requests for supplies and printer/copier support Manage inventory of letterhead, paper, and envelopes to ensure adequate stock and timely replenishment Assist departments with documentation for mail services Perform other duties as assigned
Education / Length of experience High School diploma or equivalent Physical Requirements Ability to sit or stand for extended periods (up to 8 hours/day) Frequent repetition of tasks Ability to lift 50 pounds
