Job Purpose CandyCo is expanding rapidly and requires strong HR and administrative support. The HR & Administrative Assistant will support staffing, onboarding, training, system upgrades, and recordkeeping. This role will also serve as the first point of contact for employees and customers, handling inquiries and directing them appropriately. Fluency in Spanish and English is required to support our diverse workforce. The ideal candidate is detail-oriented, proactive, and customer-focused, able to balance accuracy, employee support, and client service in a fast-paced environment.
Duties and Responsibilities Human Resources Support Assist HR team with staffing initiatives for new production facilities, including job postings, applicant tracking, scheduling interviews, and coordinating candidate communication. Prepare and process offer letters, onboarding paperwork, and employee orientation materials. Support training coordination by scheduling sessions, tracking attendance, and updating training records. Maintain and update employee records, personnel files, and HR databases with accuracy and confidentiality. Provide day-to-day support with benefits enrollment, payroll questions, and policy inquiries. Support HR projects related to organizational growth, such as culture initiatives, engagement surveys, and talent development programs. Assist HR leadership with preparing reports, compliance audits, and presentations for management. Help ensure compliance with federal, state, and local labor laws and company policies. Administrative Support Provide scheduling, calendar management, and meeting coordination for HR leadership and managers. Draft correspondence, forms, and templates for HR communications, announcements, and policies. Assist with system upgrades and HRIS data entry, ensuring accuracy during transitions. Maintain organized filing systems (digital and physical) for employee documentation and HR reports. Coordinate logistics for company-wide events, employee engagement activities, and recognition programs. Support cross-functional projects by liaising with other departments and ensuring timely task completion. Prepare and format presentations, reports, and spreadsheets for leadership review. Always handle confidential information with discretion and professionalism.
Customer Service Support Serve as the first point of contact for customer inquiries, in person, phone and email. Triage calls and direct them to the appropriate department when necessary. Provide accurate and timely responses to product questions, troubleshooting needs, and order inquiries. Maintain a positive, professional, and empathetic approach in all customer interactions. Record and track customer interactions, feedback, and resolutions.
Qualifications Associate's degree in HR, Business, or related field (Bachelor's preferred). 1–3 years of experience in HR support, admin assistance, or customer service. Knowledge of HR processes (staffing, onboarding, benefits, training); HRIS or CRM experience a plus. Strong organizational skills with ability to handle multiple priorities. Excellent written, verbal, phone, and email communication skills. High attention to detail, accuracy, and confidentiality. Proficiency in Microsoft Office Suite; comfort with data entry and reporting. Customer-focused, adaptable, and collaborative with problem-solving skills. Working Conditions Must be flexible and available to support any/all shifts as needed for training, events, or other HR needs Standing/walking for long period of time Must be an avid Safety Champion and adhere to all safety programs and procedures Physical Requirements Non-slip shoes required when on the production floor (s) Hair restraint, beard net (if needed), and Safety gloves as needed All required PPEs are worn properly when working with equipment or chemicals that require personal protection Position requires the ability to: stand, sit at a desk, walking around the facility, lifting and carrying up t0 50-LBS unassisted, reaching, kneeling, crawling, and twisting Also requires the ability to: see, hear, and communicate with associates as well as others by utilizing professional etiquette Direct Reports None
