The Office Manager will play an integral role in AGFs business, helping to oversee our Boston office and U.S. business operations. You will provide a broad range of administrative support, supporting our Senior Management leadership team and our Sales team, and helping to manage our U.S. business while building strong relationships with U.S. clients and prospective investors. This role is based in our downtown Boston office. Your Responsibilities
Office Operations
Oversee daily office operations to ensure a productive, efficient and enjoyable office work environment. Manage office supplies and inventory, and coordinate office equipment repairs or replacements with vendors and the facilities team. Serve as a liaison between the Boston office and key partners at AGFs Head Office in Toronto (e.g., IT, Marketing, Facilities, HR, Client Service, Compliance, Legal, Operations). Ensure AGFs U.S. website content is up-to-date with accurate product and regulatory information, performance data and contact details. Build strong relationships with external partners and vendors, including AGFs U.S. custodian/administrator and other key U.S. vendors and database providers. Assist with onboarding and managing external vendor relationships, ensuring initial and ongoing vendor management requirements are met. Work with Marketing and external vendors to plan, set up and manage company and sales events, including coordination of sponsorships in the United States. Respond promptly and professionally to incoming phone and email inquiries to foster AGFs reputation. Process incoming and outgoing mail and packages. Administrative and Sales Support
Provide administrative support to AGFs U.S. management and sales team, including welcoming clients to the Boston office, scheduling meetings, arranging travel and handling expense reports. Produce regular weekly, monthly, quarterly and ad-hoc business and sales reports for Senior and Executive Management and for Board meetings, focusing on key business metrics, sales pipeline and other indicators. Coordinate with Institutional Business Development support for client requests and onboarding processes, including document submission and follow-up. Assist with preparing presentations and materials for client and prospect meetings. Assist with preparing information required by regulators, auditors, exchanges, etc. Assist with onboarding of new employees, providing office orientation and helping them set up in the office. Maintain and update internal compliance documentation/files, Salesforce CRM system and related databases. Your Skills and Qualifications
Post-secondary education with a focus on business administration, finance or related field is preferred Minimum 3-5 years of experience in an office management or administrative support role, preferably in investment management or financial services Excellent communication skills, including both written and verbal Strong organization, time-management and attention to detail Knowledge of Client Relationship Management systems including Salesforce is an asset Proficient in Microsoft Office (Word, Excel, PowerPoint) Ability to build and maintain strong relationships with clients, team members, vendors and Head Office support teams Good business acumen, judgment and decision-making skills Self-motivated and a collaborative team player Ability to maintain confidentiality and handle sensitive client information Enthusiastic about working collaboratively in a small team and able to adapt to daily challenges AGF is an equal opportunity employer committed to fostering an inclusive and accessible workplace.
