About the Role The Office Manager will play an integral role in AGFs business helping to oversee our Boston office and U.S. business operations. You will support a broad range of administrative functions, assist the Senior Management leadership team and our Sales team, and help build strong relationships with U.S. clients and prospective investors. The role is based in our downtown Boston office. Responsibilities Office Operations: Oversee daily office operations to ensure a productive, efficient and enjoyable office work environment. Manage office supplies and inventory, and coordinate equipment repairs or replacements with vendors and the facilities team. Act as a liaison between the Boston office and key partners located at AGFs Head Office in Toronto (e.g., IT, Marketing, Facilities, HR, Client Service, Compliance, Legal, Operations). Ensure AGFs U.S. website content is reviewed and kept up-to-date with accurate product and regulatory information, performance data, and contact details. Build strong relationships with external partners and vendors, including AGFs U.S. custodian/administrator and other key U.S. vendors and database providers. Assist with onboarding and managing external vendor relationships, ensuring initial and ongoing vendor management requirements are met. Collaborate with Marketing and external vendors to plan, set up and manage company and sales events, including coordination of U.S. sponsorships. Respond to and direct incoming phone and email inquiries promptly and professionally. Process incoming and outgoing mail and packages.
Administrative and Sales Support:
Provide administrative support to U.S. management and the sales team, including welcoming clients, scheduling meetings, organizing travel, and handling expense reports. Produce regular weekly, monthly, quarterly, and ad-hoc business and sales reports for Senior/Executive Management and Board meetings. Coordinate with Institutional Business Development support on client requests and onboarding, including document submission and follow-up. Assist with preparing presentations and other materials for client and prospect meetings. Assist with preparing information required by regulators, auditors, exchanges, etc. Assist with onboarding of new employees, providing office orientation and helping them set up in the office. Maintain and update internal compliance documentation/files, Salesforce CRM system, and related databases.
Skills and Qualifications
Post-secondary education with a focus on business administration, finance, or related field is preferred. Minimum 35 years of experience in an office management or administrative support role, preferably in investment management or financial services. Excellent written and verbal communication skills. Strong organization, time-management and attention to detail. Knowledge of Client Relationship Management systems, including Salesforce, is a strong asset. Proficient in Microsoft Office (Word, Excel, PowerPoint). Ability to build and maintain strong relationships with clients, team members, vendors, and Head Office support teams. Sound business acumen, judgment, and decision-making skills. Self-motivated, collaborative team player. Ability to maintain confidentiality and handle sensitive client information. Enthusiasm for working collaboratively in a small team and adapting to daily challenges.
