About MTC: The Metropolitan Transportation Commission is the transportation planning, financing, and coordinating agency for the nine-county San Francisco Bay Area. MTC is the federally designated Metropolitan Planning Organization (MPO) and the state designated Regional Transportation Planning Agency (RTPA) for the nine-county area. About the Role

The Executive Assistant II (EA) will be a vital member of the Regional Network Management and Clipper teams. The EA will support the Section Directors, Assistant Directors and staff in both sections; the two sections will collaborate to maximize processes and create synergies. The work focuses on customer-facing transit programs and initiatives, with involvement in external coordination and internal operations support. Essential Duties & Responsibilities

The EA will independently perform a full range of more complex office and administrative support duties specific to the Regional Network Management / Clipper sections, including workload organization and coordination. This role directly supports senior managers and directors. Responsibilities include prioritizing tasks, applying sound judgment, discretion, tact and diplomacy, and maintaining confidentiality. Additional duties as assigned. This position is expected to be onsite at least two days a week, and possibly more as needed. Qualifications

Knowledge, Skills & Abilities Ability to handle complex scheduling and meeting coordination; manage MS Outlook calendars for multiple Directors and staff Budgeting, purchasing, expense monitoring, and time reporting basics Analyze situations and determine effective actions to resolve inquiries Business letter writing and presentation preparation with proper English and grammar Operate office equipment and software (computers, mobile devices, conference room tech, phones) Knowledge of shared file keeping and collaboration systems; shared calendaring Proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, Slack, Asana; database administration and document management Process travel and training details and expense reports for Directors Abilities Organize tasks, work independently, be a self-starter Communicate clearly and tactfully in written and oral form Maintain confidentiality and build effective working relationships Represent the two Sections in fulfilling assignments Collaborate with a team and be a proactive participant Meet deadlines and keep accurate records Work with executives and staff at all levels Perform quick and accurate mathematical calculations Review documents for accuracy and relevant information Learn complex principles, practices, techniques, and regulations related to duties Be flexible, proactive, resourceful, and maintain professionalism in a fast-paced environment Minimum Qualifications

Education and Experience: Equivalent to completion of the twelfth (12th) grade and four (4) years of increasingly responsible administrative or secretarial experience. Preferred Qualifications: High school diploma or GED; and two years of experience equivalent to Executive Assistant I in MTC, or six years of progressively responsible secretarial/office administrative experience, including two years as an Executive Assistant, preferably in a government agency.
