Role The Groups & Events Manager is responsible for coordinating, managing, and executing all aspects of group and event operations—from initial planning to post-event follow-up. This role ensures seamless guest experiences and revenue maximization through strategic planning, precise communication, and exceptional attention to detail. As the primary liaison between clients and resort departments, this position ensures the successful delivery of memorable events.
Responsibilities
Prospective Duties
Prospect and generate new business; maintain contact with existing accounts.
Assess prospective guest needs and create detailed proposals and pricing.
Customize event proposals to optimize revenue and guest satisfaction.
Respond to all event-related inquiries within 24 hours.
Coordinate group agendas with all relevant resort departments.
Track and manage event pipeline: prospective, tentative, confirmed, or canceled.
Communicate regularly with leadership and sales on financial performance.
Stay alert to new business opportunities and respond proactively.
Ensure all proposals and agreements meet guest expectations and resort standards.
Prepare accurate and compelling documentation for client presentations.
Operational Duties & Group Management
Liaise with Sales and Operations to execute seamless group experiences.
Lead internal meetings and share group details across all departments.
Manage group logistics in PMS, including room blocks and billing accuracy.
Collaborate with F&B and Culinary teams on menu planning and themed functions.
Ensure timely creation and distribution of accurate BEOs and group resumes.
Coordinate setup requirements across F&B, Engineering, and AV teams.
Manage vendor relationships for décor, entertainment, and rentals.
Host and lead site visits, FAM trips, and on-site client walk-throughs.
Oversee billing, final invoice collection, and reconciliation post-departure.
Ensure execution of all contractual requirements (deposits, commissions, rooming lists, etc.).
General Duties
Maintain awareness of local competitors and industry trends.
Represent Amangiri in community and public affairs when needed.
Perform departmental scheduling and payroll oversight.
Ensure all meetings and events align with brand standards and guest expectations.
Support leadership with additional duties or projects as assigned.
Supervisory Responsibilities
Collaborate with and provide direction to F&B, Front Office, Housekeeping, Engineering, Transportation, and external vendors to support group operations.
Required Experience & Qualifications
Minimum 2 years of management experience in events, hospitality, or related field.
Proven ability to plan, manage, and execute complex event logistics.
Excellent written and verbal communication skills.
Strong organizational and time-management capabilities.
Flexible availability, including evenings, weekends, and holidays.
Detail-oriented with high standards of guest service.
Ability to lift up to 45 lbs and work in varied climates and conditions.
Self-motivated team player with strong interpersonal skills.
Professional appearance and adherence to company grooming standards.
Multilingual capabilities a plus.
Clean driving record required.
