We are seeking a highly organized and proactive Executive Assistant who can also take ownership of day-to-day office building operations, ensuring our workplace runs smoothly and efficiently. This hybrid role provides high-level administrative support to the executive team while maintaining the functionality and organization of the office space. It is ideal for someone who thrives on variety, takes initiative, and enjoys both administrative and operational responsibilities. Key Responsibilities
Executive Support Manage calendars, schedule meetings, and coordinate travel for executive leadership Maintain various financial records and documents for company executives Prepare meeting agendas, take notes, and follow up on action items Handle confidential correspondence and documents with discretion Assist with personal tasks and errands as needed Support the sales organization as needed, including PowerPoint presentations, sales meeting materials, and ad hoc requests Office Operations Act as the main point of contact for office-related vendors, service providers, and building management Oversee maintenance, cleanliness, and security of the office building Order and manage office supplies, equipment, and inventory Coordinate with IT and facilities teams to resolve infrastructure issues Plan and execute office events and meetings Qualifications
5+ years of experience in an executive assistant or office management role Strong organizational and multitasking skills Excellent communication and interpersonal abilities Proficient in Microsoft Office Ability to handle sensitive information with utmost confidentiality Proactive, resourceful, and solutions oriented Preferred
Experience managing vendor relationships and facility operations Background in office administration or hospitality management Why Join Us
