Overview
Under general supervision of the Humanities Administrative Support Center (HASC) Student Services Manager, the Religious Studies Undergraduate Program Coordinator is responsible for independently overseeing all aspects of the Religious Studies Undergraduate Program. Provides academic advising for majors, minors, and potential new students. Collaborates with colleagues within HASC, as well as other campus offices such as the College of Letters and Science, EAP, DSP, and the Office of the Registrar to provide holistic and accurate guidance to all students. Coordinates undergraduate services including preparing and managing the quarterly schedule of classes, updating annual copy for the general catalog, and submitting and managing master course approvals. Maintains departmental statistical reports and completes IRAL and Instructor Workload reports. Works closely with the Department Chair and Faculty Undergraduate Advisor to address issues affecting students.
Responsibilities
Undergraduate Program Coordination – 40%: coordinates and oversees all aspects of the undergraduate program in Religious Studies; provides accurate and comprehensive advising; maintains an organized filing system to track student progress and administrative actions; creates and manages quarterly course schedules; assists with major sheet updates and development of publicity materials; coordinates departmental participation in recruitment fairs and student orientations; manages events related to commencement and departmental awards.
Administrative Support – 40%: completes IRAL and Instructor Workload Reports; tracks course enrollment statistics and trends; coordinates with faculty and the Curriculum Committee to submit course proposals; facilitates general education proposals; maintains syllabi; updates undergraduate information on the departmental web page; monitors enrollments and waitlists; coordinates DSP exams with instructors and the Disabled Students Program.
Book Orders – 10%: orders textbooks, submits adoptions to UCSB Bookstore, requests desk copies, and collaborates with library staff on instructor needs.
Miscellaneous Duties – 10%: provides backup support for East Asian Languages and Cultural Studies; manages the departmental room calendar; assists Department Chair and managers with research and development and other duties as assigned.
Qualifications
Required: Bachelor’s degree or equivalent combination of education and work experience in a higher education setting.
Strong organizational skills and ability to manage multiple tasks under deadlines with a large workload and interruptions.
Excellent communication and interpersonal skills, with assertiveness, diplomacy, and attention to detail.
Good judgment, discretion, and careful attention to detail.
Ability to prioritize tasks with minimal supervision; set boundaries and adhere to them.
Creatively problem-solve and work effectively as part of a staff team with faculty and students.
Preferred Qualifications
Academic Advising experience in a UCSB academic department.
Familiarity with UCSB Academic Advising programs: AAA, Gaucho BLUE, GOLD, eGrades, Ad Astra, CourseDog, DSP portal, Student Success Hub.
