Overview

Events and Communications Manager at Inside Higher Ed (Stanford, School of Humanities and Sciences). This position leads a team of administrative staff to plan and execute events, manage building/office operations, maintain website presence and publications, and ensure brand compliance and accessibility. Reporting to the Director of Finance and Operations, it provides complex administrative and operational support in a fast-paced environment with shifting priorities and international visitors. Position Summary

The DLCL (Division of Literatures, Cultures, and Languages) is seeking an Events and Communications Manager to lead a team of three administrative associates and student and/or temporary workers. The role involves establishing standards and workflows, managing timelines and budgets, overseeing content planning and updates for online and printed communications, and ensuring brand compliance and accessibility. The role is a 100% FTE, continuing, non-exempt exempt position based on the Stanford campus with a potential hybrid work arrangement. Requires substantial on-site work, typically 4 days per week, with possible evenings and weekends. Core Duties

Act on behalf of the supervisor or chair to establish priorities and resolve administrative problems. Research and prepare background information for meetings; participate in meetings or report back as needed. Plan, schedule, and operate complex conferences, seminars, and events; coordinate with vendors; oversee production and distribution of materials; manage events within budget. Draft documents and correspondence for presentations, courses, grants, conferences, seminars, and reports; maintain content for unit documents, displays, reports, brochures, social media, and websites. Manage calendars, resolve conflicts, and arrange travel in line with policies. Create complex reports and spreadsheets, and make recommendations based on data. Oversee financial transactions, monitor and reconcile budgets, and assist with vendor selection or capital requests as applicable. Coordinate office moves and routine renovations; support space planning. Summarize material for briefing purposes and assist with sponsored project proposals and post-award administration as needed. Lead administrative functions of a program or unit; provide HR transactional support and/or faculty affairs support; coordinate visa processes; serve as building coordinator. Supervise day-to-day work of administrative staff and student/temporary workers; assign workloads, set deadlines, and provide performance input. Other duties as assigned. Education and Experience

High school diploma and six years of administrative experience, or an equivalent combination of education and relevant experience. Knowledge, Skills, and Abilities

Advanced computer skills with office software and email applications. Proven ability to complete projects and strong organizational skills. Excellent verbal and written communication; strong customer service and interpersonal skills. Ability to prioritize, multi-task, and assign work; take initiative and own projects; exercise sound judgment. Preferred Requirements

Bachelor’s Degree Knowledge of Stanford’s financial systems and web applications Knowledge of a foreign language (Russian, German, or Spanish) Experience with Adobe Creative Suite, Drupal, and social media platforms Physical Requirements
