The Department of World Languages & Literatures seeks an experienced Administrative Assistant 4 to provide high-level support across budgeting, personnel, events, faculty/staff/student supervision, scheduling, office protocols, procurement, and departmental leadership. This position plays a pivotal role in coordinating department operations, supporting the Chair and faculty, managing travel, payroll, graduate student assistantships, and ensuring compliance with university policies. Responsibilities include managing personnel administration (hiring, payroll, international scholars, contracts/forms), overseeing search and onboarding processes, supervising staff and student workers, developing and monitoring budgets and transactions, coordinating events and travel logistics, scheduling classes and meetings, and maintaining departmental records, key/inventory, and office systems. Duties include but are not limited to: Serve as primary liaison to the Department Chair on all personnel matters (internal & external). Manage personnel lifecycle for ~55 faculty, staff, and student workers (hiring, re-hires, international scholars, payroll, forms). Ensure compliance with HR regulations and affirmative action policies; escalate or remedy non-compliance. Oversee search administration: develop position descriptions, train faculty/staff, delegate duties, manage search funds. Maintain and audit personnel / search records, contract/grievance/check request tracking. Interview and hire student workers; supervise duties and workflow delegation. Monitor and manage departmental personnel budget funds. Utilize HR systems (e.g. HRMS, CAIS) and internet tools to support accurate personnel administration. Required Qualifications: Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR One (1) year of experience as an Administrative Assistant III in Nevada State service; OR An equivalent combination of education and experience as described above. Schedule: The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs. Compensation Grade: Grade 29 In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets.
