Responsibilities Benefits Administration & Compliance

Manage plan vendors and third-party administrators.

Coordinate transfer of data to external contacts for services, premiums, and plan administration.

Handle enrollments, COBRA, changes, beneficiaries, disability, death claims, 401(k) rollovers, distributions, loans, hardships, and compliance testing.

Ensure compliance with ERISA, ACA, HIPAA, and other federal/state regulations.

Prepare and file ACA/PPACA 1095-C forms on federal and state levels.

Manage annual 401(k) audits, QDROs, compliance mailings, and benefit-related government filings.

Leave Administration

Oversee all leave of absence processes, including FMLA, ADA, short-term and long-term disability.

Maintain leave-related documentation, process premiums while employees are on leave, and ensure timely communication with employees and managers.

Strategic Initiatives & Process Improvement

Evaluate and revise internal processes to increase efficiency and reduce costs.

Lead wellness program strategy, including monthly initiatives, on-site events, and communication campaigns.

Partner with Senior Director of Human Resources to design and deliver training to managers and employees on benefits and leave policies.

Produce and analyze benefits and leave utilization reports to inform leadership decisions.

Audit vendor performance and accuracy of billing; oversee payment processing for all benefit plans.

Partner with Senior Director of Human Resources, COO, and CFO for vendor contract negotiations and renewals.

HRIS & Technology

Serve as the subject matter expert for the benefits and leave administration modules in UKG.

Ensure data integrity, troubleshoot system issues, and support HRIS upgrades or process enhancements.

Qualifications

Bachelor’s degree in Human Resources, Business Administration, or related field highly preferred.

Minimum 7–10 years of progressive experience in benefits and leave administration, with at least 3 years in a management or lead role.

Strong knowledge of benefits compliance regulations and multi-state leave laws.

Previous experience in a law firm or professional services environment preferred.

Proficiency with HRIS benefits modules, ACA compliance tools, COBRA platforms, and Microsoft Office (especially Excel).

Proven ability to manage vendors, negotiate contracts, and oversee budgets.

Exceptional communication skills including the ability to explain complex benefits information to employees and influence stakeholders.

Strong organizational skills with the ability to manage multiple priorities and meet deadlines.

The pay range for this position is

$119,500 - $135,000 . The pay range provided is in compliance with state, city, or local employment laws and applies to this location only. Actual pay for this position will be determined based on multiple factors including, but not limited to, knowledge, skills, abilities, experience, current market data, and business needs.

Physical Demands:

While performing the duties of this position, the employee is regularly required to remain in a stationary position or sit for prolonged periods and repeat motions that may include the wrists, hands and/or fingers. The employee is occasionally required to stand and stoop, kneel, or crouch. The employee is frequently required to perform light work that includes lifting and moving objects up to 10 pounds.
