Our client, a premier financial services firm, is offering an extraordinary opportunity for a sharp, resourceful Executive Assistant to support a high-performing team. This is more than a support role; it’s a chance to become deeply embedded in a firm that values initiative, clear thinking, and professionalism at the highest level. You’ll play a key part in keeping the team organized, connected, and ahead of the curve, all while engaging with senior stakeholders and sensitive information. Responsibilities
Manage expense reports; create and prepare confidential communication, arrange comprehensive travel plans, itineraries, and agendas; and compile documents for travel-related meetings weekly. Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Communicates directly with the team and relevant stakeholders on matters related to projects and initiatives. Manage non-disclosures, including management of documents, correcting contract content where needed, and accurate management of all executed materials. Committee/Meeting organization; facilitating the technology, coordinating, and distributing all materials on a weekly, monthly, and quarterly basis for leadership meetings, earnings calls, etc. Complete lender reporting quarterly for each property. Run reports and assist analysts in retrieving additional information. Manage scheduling and travel plans for the Board of Directors quarterly meeting. Work cooperatively with other administrative assistants in a positive partnership to back each other up when needed. Complete additional tasks as necessary for the team. Ideal Experience
Bachelor’s degree with current experience supporting executive leadership in a financial or professional services environment. Strong PC skills, MS Outlook, Word, Excel, and PowerPoint. Effective communication with outstanding writing skills. Poised, perceptive, and emotionally intelligent, ability to adapt communication styles and represent the team with discretion and confidence. Exceptionally organized and self-directed, thrives on anticipating needs, creating order, and keeping high-level priorities on track without needing to be asked. Tact and good judgment in confidential situations and proven experience interacting with senior management.
