About the Role:

We are seeking a detail-oriented and organized Administrative & Legal Assistant to provide clerical, administrative, and client support for our practice. This individual will play a key role in managing case files, preparing estate planning documents, assisting with discovery requests, and supporting day-to-day office operations.

Key Responsibilities:

  • Perform general administrative and clerical tasks to support daily operations.
  • Maintain and update case management database, including tracking case statuses, logging client communications, and closing files.
  • Communicate regularly with clients by sending reminders, providing updates, and offering general assistance.
  • Assist in preparing and revising estate planning documents, including merging questionnaires with templates, drafting and editing language, and developing questionnaire templates.
  • Organize and manage electronic and physical files, records, and legal documents.
  • Manage office supplies, including ordering and inventory tracking.
  • Schedule and coordinate appointments, meetings, and calendars.
  • Handle incoming and outgoing mail, including scanning, organizing, and distribution.
  • Greet and provide general support to office visitors.
  • Answer and direct phone calls with professionalism and proper etiquette.
  • Post and manage basic social media content.
  • File legal documents both in person and electronically as required.
  • Assist in organizing and preparing discovery requests and responses.
  • Perform other related duties as assigned.
Qualifications:

  • Bachelor’s degree preferred; relevant experience may substitute.
  • Prior administrative or legal assistant experience a plus.
  • Strong organizational skills with excellent attention to detail.
  • Exceptional written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite and database management systems.
  • Professional demeanor, reliability, and strong client service orientation.
