Client Service Associate / Administrative Assistant
Job Type: Full Time – Hours 8:30 a.m. 5:30 p.m., (breaktimes can be flexible)
Experience Required: Prior experience in a frontline client service or administrative position
Position Summary
The Client Service Associate/Administrative Assistant will fulfill a critical, client-facing role and help to facilitate the smooth operation of a fast-paced financial advisory practice. This position works as an employee of an independent advisor franchisee with a financial advisory practice of Ameriprise Financial.
The Client Service Associate/Administrative Assistant supports the many different tasks for which the practice is responsible and ties directly into the overall business plan of the practice.
· The role will assist in managing and organizing office workflow with an emphasis on creating and delivering a unique client experience that defines and differentiates the practice.
· The role will assist in daily business operations which includes being able to answer and redirect incoming calls as well as to coordinate the office calendar.
· The role is responsible for providing a positive first impression for all clients and is tasked with administrative duties, such as client mailings, client correspondence, appointment prep and follow-up, data management and the scanning/electronic filing of documents.
· The role provides client relationship support through interacting directly with clients and by acting as a liaison to answer client questions.
· The role performs other practice management tasks relating to client service as needed.
· The role is responsible for responding to ad hoc requests, coordinating/tracking projects and/or managing business-as-usual projects.
· Responsibilities and Time Allocation will change over time to meet the needs of the practice and can include other duties as assigned by the lead advisor.
· The position requires proficiency in Microsoft Word, Excel, and Outlook. Experience with Salesforce CRM is a plus, but not a requirement.
Position Responsibilities
- Responsible for opening and closing the office
- Greet and extend hospitality to clients upon arrival at the office
- Support calendar management for multiple team members
- Provide client support services in a timely and accurate manner
- Call and email clients and prospects to set up meetings or appointments
- Document client contact and phone calls
- Ensure lobby and conference rooms are always client-ready
- Performs a wide range of administrative duties and operational support activities
- Assist with weekly appointment prep / follow-up tasks
- Prepare and finalize meeting summary documents & client correspondence
- Prepare and finalize advice delivery documents
- Prepare reports by performing basic information gathering and analysis as directed.
- Sort, review, log and distribute incoming/outgoing mail.
- Manage the scanning, filing, and uploading of client documents to our Online File Management system
- Answer questions and provide readily available information to clients, if requested and as allowable, as it relates to servicing client accounts
- Maintain files and records in accordance with the records retention policy

This is not a sales position.
Industry (finance and / or banking) experience a plus.
