Job Description: Administrative Assistant
We are looking for a highly experienced, energetic, hyper-organized, and motivated Administrative Assistant to handle a wide array of administrative tasks.
Roles and Responsibilities
- Provide calendar management for executives, including scheduling meetings, sending reminders, prioritizing appointments, and assisting with last-minute changes.
- Draft emails, letters, and other business communications as needed.
- Handle confidential information with discretion and maintain professionalism in all interactions.
- Assist with booking travel, building itineraries, tracking expenses, and maintaining travel documentation.
- Process expense reports for executives and select team members; work with accounting to ensure timely reimbursements.
- Help track and manage subscriptions, renewals, and memberships.
- Support various administrative tasks and occasional special projects as assigned.
- Brentwood, TN Location
- At least 4 years administrative support experience, executive level preferred
- Bachelor's degree is preferred.
- Excellent time management skills and ability to demonstrate high attention to detail.
- Confidence to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision.
- Utilizing your strong interpersonal skills, you easily build relationships with investors, staff, business associates, and board members.
- Regularly handle confidential information with utmost discretion and confidentiality
- Ability to be flexible and available as needed throughout the workday.
- Self-starting, critical problem solver who can switch priorities at a moment’s notice with minimal or no direction.
- Ability to present a positive and respectful front in all situations.
- Desire to work in entrepreneurial environment and be committed to our mission.
- Strong proficiency in Microsoft Office suite; advanced Outlook, Word, and PowerPoint skills
- Experience with technologies such as Expensify, Zoho, video conference systems, and Zoom.
