Kennedys, a growing global law firm specializing in insurance coverage/defense litigation seeks a full-time Administrative Assistant to join our San Francisco office. This position is full-time, in office, Monday through Friday from 9:00 a.m. to 5:00 p.m.

Key Responsibilities

Daily Reception Responsibilities:

  • Operate the main telephone line
  • Receive and greet visitors
  • Receive and process mail and packages
  • Book and set up conference room meetings as requested by Partners, Associates, and Management

Administrative Responsibilities

  • Maintain and stock all common areas
  • Order kitchen and office supplies with management approval
  • Maintain office equipment, including IT updates
  • Drop off mailings and overnight packages
  • Submit office maintenance requests to building facilities
  • Add visitors to the building security list
  • Timely process invoices and work with vendors on discrepancies
  • Timely submit attorney reimbursements in Chrome River
  • Provide administrative support for special events, projects, and tasks as needed
  • Provide additional administrative support to the office as needed

File Clerk Responsibilities

  • Open and close physical files
  • Process and send closed cases to offsite storage
  • Maintain the file room
  • Assist Secretaries and Paralegals as assigned
  • Maintain physical files
  • Complete daily/weekly filing

The annualized salary range for this role is $60,000-$70,000; however, actual salary is contingent upon level of experience and other job-related factors permitted by law.
