Kennedys, a growing global law firm specializing in insurance coverage/defense litigation seeks a full-time Administrative Assistant to join our San Francisco office. This position is full-time, in office, Monday through Friday from 9:00 a.m. to 5:00 p.m.
Key Responsibilities
Daily Reception Responsibilities:
- Operate the main telephone line
- Receive and greet visitors
- Receive and process mail and packages
- Book and set up conference room meetings as requested by Partners, Associates, and Management
- Maintain and stock all common areas
- Order kitchen and office supplies with management approval
- Maintain office equipment, including IT updates
- Drop off mailings and overnight packages
- Submit office maintenance requests to building facilities
- Add visitors to the building security list
- Timely process invoices and work with vendors on discrepancies
- Timely submit attorney reimbursements in Chrome River
- Provide administrative support for special events, projects, and tasks as needed
- Provide additional administrative support to the office as needed
- Open and close physical files
- Process and send closed cases to offsite storage
- Maintain the file room
- Assist Secretaries and Paralegals as assigned
- Maintain physical files
- Complete daily/weekly filing
The annualized salary range for this role is $60,000-$70,000; however, actual salary is contingent upon level of experience and other job-related factors permitted by law.
