Administrative Assistant - Contract role - Puerto Rico
We are recruiting on behalf of a leading global pharmaceutical client based in Puerto Rico. Due to a large capital investment and multiple projects on site, the client is looking for an Administrative Assistant to join their team.
Responsibilities
- Facilitate meeting setup and coordinate logistics
- Take notes during meetings and distribute minutes
- Assist in network approvals
- Plan and organize events and large meetings
- Coordinate internal team-building events quarterly
- Support other events as needed
- Assist with travel arrangements, including submitting authorization forms and expense reports
- Provide onboarding support for new hires
- Maintain onboarding checklists and materials
- Order items for new hires and communicate expectations
- Escort new hires to receive laptops and necessary equipment
- Ensure training courses are scheduled and included in learning plans
- Maintain office supply inventory and order supplies as needed
Skills and Experience
- Strong proficiency in Microsoft Office Suite
- Excellent communication and interpersonal skills
- Minimum of 2 years experience as an administrative assistant
- Experience with Concur and Ariba systems
- Experience in event planning
