Your Role: You will serve as an administrative assistant on the executive team, reporting directly to the executive assistant while collaborating closely with our CEO and other executive leaders. This position requires an energetic and highly organized individual who can manage multiple tasks and maintain confidentiality. The role requires flexibility and the ability to adjust your focus in this dynamic environment throughout the day. Pivoting to meet the needs of the team is essential for success in this role. You will be responsible for supporting the daily administrative needs of the CEO and the executive assistant. This is a full-time, on-site position in our Wayne, PA, office, typically from 9:00 a.m. to 5:00 p.m. Monday through Friday, with flexibility to work varied shifts as needed with advance notice between 7 a.m. and 7 p.m.

Key Responsibilities:

  • Coordinate meetings: Schedule and organize meetings for executives
  • Handle communications: Manage phone calls, greet guests and monitor emails
  • Document management: Update, create and proofread various documents
  • Take dictation: Accurately transcribe email dictation from the CEO
  • Prepare reports: Compile and prepare monthly reports as needed
  • Maintain reminders: Keep track of important deadlines and tasks
  • Support operations: Perform additional tasks as required to ensure efficiency within the executive team

  • Adaptability: Willingness to learn new technologies and processes
  • Attention to detail: High level of accuracy in document preparation and communication
  • Sense of urgency: Ability to prioritize tasks effectively and handle a high volume of work
  • Professionalism: Respect for confidentiality, good attendance and a strong work ethic
  • Technical proficiency: Proficient with Microsoft Suite, excellent typing and grammar skills

Qualifications:

  • Education: High school diploma required; higher education preferred
  • Experience: Previous administrative experience is preferred
