Location

We are currently seeking a full-time Administrative Assistant for our Fort Collins, Colorado office.

Responsibilities

  • Professionally administer multi-line calls.
  • Greet clients, consultants, and visitors in a professional and welcoming manner.
  • Process incoming and outgoing mail, shipments, and courier deliveries
  • Coordinate client and vendor meetings.
    • Order and arrange food and refreshments as needed.
  • Order and maintain office supplies, snacks, coffee, and drinks; keep inventory current.
  • Coordinate travel arrangements for staff.
  • Provide administrative support, including:
    • Formatting, editing, and proofreading Word, Excel, and PowerPoint documents
    • Supporting preparation/printing of meeting agendas, sign-in sheets, and presentation materials.
  • Perform general office management duties:
    • Keep conference rooms, break rooms, and common areas neat and tidy.
    • Keep snacks, drinks, and supplies stocked in all break rooms.
    • Maintain general office cleanliness.
    • Maintain out-of-office calendars for staff.
    • Manage check-out of company credit cards, company car, and shared equipment.
    • Take meeting minutes during office staff meetings.
  • Assist with company events, office communications, and special projects.
  • Perform other duties as requested.
Qualifications

  • Minimum of 1-year equivalent administrative experience.
  • High School diploma required.
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail
  • Ability to multitask, prioritize work, and meet deadlines.
  • Customer service oriented, with a professional and collaborative attitude.
  • Ability to work independently and as part of a team in a fast-paced environment.
