Overview

Position Overview: Blessed Sacrament School, a Catholic elementary school in the heart of Albany committed to academic excellence and faith formation, is seeking a warm, organized, and professional Administrative Assistant to support the principal, faculty, students, and families. The Administrative Assistant plays a vital role in maintaining a welcoming school office environment, managing daily operations, and upholding the mission and values of Catholic education.

Responsibilities

  • Serve as the first point of contact for the school—greet visitors, answer phone calls, and respond to emails with professionalism and hospitality.
  • Provide direct administrative support to the Principal, including scheduling, correspondence, and recordkeeping.
  • Maintain accurate student records (attendance, immunizations, emergency contacts, etc.) in accordance with Diocesan and NYS guidelines.
  • Manage incoming and outgoing mail and handle the distribution of school communications.
  • Assist with financial procedures, including collecting tuition payments, processing invoices, and working with Diocesan financial systems.
  • Support faculty and staff with copying, ordering supplies, scheduling, and organizing school events.
  • Coordinate transportation, lunches, and other student services.
  • Maintain confidentiality and discretion at all times.
  • Collaborate with the Diocese of Albany Catholic Schools Office as needed.
  • Uphold and model the values of the Catholic faith in all interactions and responsibilities.

Qualifications

  • High School Diploma or equivalent required; Associate’s degree or administrative training preferred
  • Prior administrative experience in a school or office setting strongly preferred
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
  • Strong interpersonal, organizational, and communication skills
  • Ability to multitask and manage a variety of tasks in a busy environment
  • Understanding of and respect for the Catholic faith and the mission of Catholic education
  • Ability to maintain a welcoming and professional demeanor under pressure
