What the role is

The Administrative Assistant will provide comprehensive administrative support to ensure efficient office operations and a positive work environment. This position will be responsible for a variety of tasks including:

  • Proofreading various forms of correspondence and proposals for spelling, grammar, punctuation, and professional tone.
  • Maintaining strict confidentiality while supporting operations and completing administrative tasks.
  • Providing general administrative support as needed, including scheduling and managing calendars.
  • Assisting with various administrative tasks across departments and performing other duties as assigned by manager.
  • Setting up, breaking down, and maintaining cleanliness for client and internal meetings.
  • Managing catering arrangements for client and employee events at the office.
  • Handling domestic and international travel arrangements for staff using the Amex travel platform.
  • Processing and preparing shipping for overnight packages, including special deliveries.
  • Serving as the primary point of contact for shipping agents (FedEx, UPS, Amazon, etc.) and coordinating office-related deliveries.
  • Tracking and replenishing office supply inventory at multiple locations.
  • Maintaining snack and beverage inventory and ensuring it is replenished regularly.
  • Ensuring office cleanliness by managing the dishwasher, coffee, plants, and conducting weekly fridge cleanouts.
  • Reviewing and processing expense reports and purchase orders (POs) as required.
  • Serving as a point of contact for building access at the Syracuse location.
  • Supporting the Crisis Preparedness team during building emergencies.

What it requires

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with Outlook is a plus.
  • Strong attention to detail, with the ability to proofread and edit documents for clarity and professionalism.
  • Ability to multitask and work efficiently under pressure.
  • Strong interpersonal skills and ability to work collaboratively with others.
  • Ability to maintain confidentiality in all aspects of the role.
  • Must be able to lift up to 25 lbs and handle physical tasks such as setting up meeting rooms or handling deliveries.
