Position: Administrative Assistant
Reports to: Chief People and Culture Officer
Location: Indianapolis, IN (hybrid / in-person 2 days)
Full-time, Exempt
Description
The Girls Inc. Administrative Assistant is the in-person contact for the NRC office operations and maintenance. Facilitates overall administrative and office support to ensure the efficient operation of the organization. Supports daily scheduling and administrative tasks for the C-Suite Executives based in Indianapolis, IN, working alongside their counterparts in NY and DC.
Responsibilities include:
- Creating and maintaining a well-organized appointment schedule, including meetings, conferences, and travel arrangements.
- Assisting with daily administrative duties such as expense reports, correspondence, travel plans, and meeting documents.
- Providing support for key meetings, including budget and staff meetings.
- Greeting visitors and establishing rapport with employees, clients, and guests.
- Answering calls, relaying information, and maintaining confidentiality.
- Managing mail, packages, inventory, and office supplies.
- Running errands and coordinating events and celebrations.
- Serving as the primary contact for building management and maintenance.
- Handling ad-hoc projects as assigned.
Salary Range: $50,000 - $54,000
Requirements:
- At least 3 years of experience supporting C-Suite leaders, preferably in non-profit organizations.
- Willingness to work in the NRC office 4 days a week.
- Excellent communication, organization, and relationship-building skills.
- Ability to handle confidential information discreetly.
- Proficiency with new tools and software.
- Strong interpersonal and language skills.
