Base pay range

$70,000.00/yr - $75,000.00/yr

Position Overview

Our client is looking for a highly organized and proactive Administrative Assistant to support daily office operations, internal communications, and on-site customer experiences. This onsite role is based in North Houston, 77073.

The ideal candidate thrives in a collaborative environment, can juggle multiple priorities with ease, and enjoys being a central point of contact across departments.

Key Responsibilities

Office & Operations Support

  • Manage office supply inventory and order fulfillment.
  • Coordinate domestic and international travel arrangements.
  • Welcome and manage visitors; support front office operations.
  • Monitor and manage the daily answering service.
  • Prepare presentations for monthly leadership meetings and town halls.
  • Maintain internal communication channels; post electronic newsletters and updates.
  • Maintain the company intranet and staff directory.
  • Share critical announcements as needed.
  • Prepare welcome packets, business cards, and personalized gifts.
  • Ensure workspaces are ready for incoming team members.

Event Coordination

  • Plan and execute internal events, including town halls, employee celebrations (birthdays, holidays, retirements), and charitable initiatives.
  • Coordinate Lunch & Learns and Customer Facility Tours: own scheduling, invites, communications, and logistics.
  • Liaise with sales, marketing, and operations to deliver an exceptional customer experience.
  • Maintain inventory of branded giveaways and event materials.

Skills & Qualifications

  • Proven ability to multitask and prioritize in a fast-moving environment.
  • Strong written and verbal communication skills.
  • Highly organized and resourceful with attention to detail.
  • Proficient in Microsoft 365, particularly Outlook, Teams, PowerPoint, and Excel.
  • Experience supporting senior leadership or executive teams is a plus.
  • Previous experience in administrative or operations support preferred.
  • Intermediate Spanish-speaking & Writing preferred but not a requirement.

Bonus

  • Will serve as backup to the Executive Assistant to the CEO and Executive Leadership Team.
