Overview

As an Administrative Assistant at Health Solutions West, you will provide high-level administrative support and interact with executive leadership, management teams, and external stakeholders. This role involves a wide variety of duties, including scheduling, written correspondence, managing communications, coordinating events, supporting special projects, and assisting with reporting and data collection.

What You’ll Be Doing

We are looking for someone with strong organizational skills, excellent communication and customer service abilities, and the capacity to anticipate needs and prioritize effectively in a fast-paced environment. Reliability, professionalism, and a collaborative spirit are essential.

Responsibilities

  • Maintain strict confidentiality of sensitive and protected information.
  • Establish positive working relationships with internal staff and external partners.
  • Greet executives, business associates, employees, and visitors in a professional and courteous manner.
  • Prepare, edit, and manage correspondence and documents.
  • Organize and maintain files and reference materials.
  • Prepare materials and manage logistics for meetings.
  • Manage schedules, appointments, and travel arrangements.
  • Coordinate and support meetings and events.
  • Record, transcribe, and distribute minutes of meetings.
  • Monitor, screen, and respond to incoming and outgoing communications.
  • Coordinate and manage major projects through completion.
  • Assess operating practices and recommend improvements.
  • Manage and reconcile credit card expenditures.
  • Assist with employee onboarding and training.
  • Support the design and development of internal and external communications.
  • Prioritize and organize daily tasks to ensure deadlines are met and projects stay on track.
  • Perform other duties and special projects as assigned.
  • Physical Requirements: Standing, sitting, moving chairs and tables; regularly lifting and carrying items up to 20 pounds; working under stress in a fast-paced environment; frequent use of hands and fingers for computer and office equipment.

What We’re Looking For — The Must-Haves

  • Preferred associate degree in business administration or a related field.
  • 1-2 years of administrative support experience required.
  • Project management experience. Demonstrated proactive problem-solving abilities.
  • Training/education in organizational management.
  • Strong customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Visio, Teams).
  • Valid Colorado driver’s license, good driving record, and reliable transportation.
