Administrative Assistant
Location: Cleveland, OH

Hanna Commercial, located in the heart of Playhouse Square in Downtown Cleveland, is hiring an administrative assistant to support our award-winning national and international real estate services company.

Main Responsibilities:

  1. Working knowledge of Word, Excel, PowerPoint, Outlook
  2. Compose client update reports, presentations, and marketing materials
  3. Assist with database management (ProLease & CoStar)
  4. Coordinate domestic and foreign travel accommodations for corp services team
  5. Create and send invoices; process completed and paid deals across all divisions
  6. Prepare agendas, organize meetings and take minutes
  7. Research – existing client news and prospects
  8. Create networking calendar monthly
  9. Prepare expense reports
  10. Schedule conference calls
  11. Answer phones, maintain office/supplies along with other admin staff
  12. Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional organizations
  13. Contribute to team effort by accomplishing related tasks in timely manner
  14. Position supports entire company with a focus on corporate services team. Reports to Business Support Manager

Preferred Experience:

  1. Prior experience as an administrative assistant
  2. Database management
  3. Research
  4. Real estate knowledge/ license useful but not required

Qualifications:

  1. Candidates must be trustworthy, punctual, can be discreet and keep confidential matters private, is enthusiastic, and willing to put in extra effort when required.
  2. Attention to detail, organization, and time management are extremely important.
  3. Excellent written and verbal communication skills.
  4. Proactive problem-solver who anticipates needs and takes initiative.
  5. Flexible team player, willing to adapt to changes and unafraid of challenges.
  6. Must have the ability to quickly learn Hanna CRE’s internal systems (ProLease, Astro).
  7. The ability to prioritize and work without close supervision.
  8. Minimum of three to five years’ experience working in an administrative capacity.
  9. Full-time position: 8:30am – 5:00pm, Monday – Friday.
  10. Candidate may work remotely on Friday when scheduling allows.
