Job Summary

The Administrative Assistant maintains records and schedules, performs clerical functions, and handles communication for a department. This position is part of the TOTEM bargaining unit, works 12 months a year, 8 hours a day, full-time (1.0 FTE), with a salary range of $21.86 to $22.84 per hour, DOE. It has a retirement association with PERS.

Minimum Requirements

  • A high school diploma or equivalent, or current enrollment in a GED program.
  • Three years of clerical experience; equivalent education may be considered.
  • Excellent communication and customer service skills.
  • Ability to maintain confidentiality and establish professional relationships with staff, parents, students, administrators, and the public.

Preferred Qualifications

  • Knowledge of office practices, procedures, office machines, and filing systems.
  • Proficiency in operating office equipment and computer use, including word processing, databases, and spreadsheets on both Macintosh and Windows.
  • Typing accuracy and speed.
  • Knowledge of ASD computer systems such as Q, Business Plus, EmpCenter, or Absence Management.
  • Ability to perform clerical work with independence, speed, and accuracy, including preparing financial and statistical reports.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Basic math skills for handling measurements and calculations.
  • Experience in maintaining cost records, employee scheduling, and statistical data.
  • Ability to handle public relations and communicate effectively.

Essential Job Functions

  • Maintain cost records, employee scheduling, and statistical records.
  • Manage a specific clerical function or unit, understanding departmental policies and their public impact.
  • Perform technical clerical work requiring knowledge of policies and procedures.
  • Initiate and handle written communications and public relations.
  • Assign, schedule, and review work of other clerks for accuracy and completeness.
  • Assist with processing, recording, and filing administrative documents.

Physical and Mental Demands

Frequent standing, walking, sitting, speaking, and hearing. Visual acuity required. Ability to lift less than 40 lbs. Capable of understanding instructions, recalling facts, handling conflicts, and making decisions under pressure. Must manage stress effectively in a diverse environment.

Work Environment

Professional setting with diverse individuals. Exposure to video displays and outdoor weather conditions. Moderate noise level.
