Position Overview: Administrative Assistant

The Administrative Assistant provides essential administrative support to departmental leaders and performs a variety of duties to support operations. Responsibilities include:

  1. Supporting 2-5 leaders and providing up to 25% departmental support, including maintaining documentation and compiling reports from data and records.
  2. Utilizing SAP Concur to upload receipts, file expense reports, and track and correct reports until approval.
  3. Managing multiple Outlook Calendars and interacting with internal and external executives, leaders, assistants, consultants, and vendors.
  4. Coordinating complex meetings, prioritizing schedules, and managing domestic and international travel arrangements.
  5. Scheduling and hosting video conferences via Webex/Zoom and managing Conference Center reservations.
  6. Maintaining communication with management, colleagues, and outside contacts.
  7. Coordinating candidate interviews and onboarding processes.
  8. Submitting IT support tickets, facilitating resolutions, and tracking in ServiceCentral.
  9. Preparing agendas, reports, presentations, and attending meetings to report on actions.
  10. Managing departmental supplies, maintaining copy rooms, and supporting space management and new hire setups.
  11. Transcribing scientific protocols, manuscripts, abstracts, and other medical documents.
  12. Providing administrative support such as typing, proofreading, and filing.
  13. Participating in educational activities and engaging with the administrative community.

**Minimum requirements include:**

  • Knowledge of office management and secretarial procedures
  • Strong grammar, spelling, and punctuation skills
  • Basic arithmetic skills
  • Associate degree preferred
  • Three years of secretarial experience or equivalent preferred
  • One year of experience in a healthcare organization preferred
