Position: Administrative Assistant

We are seeking an Administrative Assistant to provide comprehensive administrative support to departments and leadership, performing a wide range of duties to support operations effectively.

  • Support 2-5 leaders and provide up to 25% departmental support, including maintaining documentation and compiling reports from existing data and records.
  • Utilize SAP Concur to upload receipts, file expense reports, and track and correct reports until approved for reimbursement.
  • Manage multiple Outlook Calendars and interact with internal and external executives, leaders, assistants, consultants, and vendor partners.
  • Coordinate complex meetings, prioritize time based on urgency, and manage domestic and international travel arrangements.
  • Schedule and host video conferences via Webex/Zoom and manage Conference Center reservations.
  • Maintain communication with management, colleagues, and outside contacts.
  • Coordinate candidate interviews and onboarding processes.
  • Submit IT support tickets, communicate with IT teams, and track tickets in ServiceCentral.
  • Prepare agendas, reports, and presentations; attend meetings and report on actions.
  • Manage departmental supplies and inventory, including Staples and Amazon accounts, and maintain copy rooms.
  • Transcribe scientific protocols, manuscripts, abstracts, and other medical documents as needed.
  • Oversee space management, including new hire desk setup.
  • Provide administrative support such as typing, proofreading, and filing documents.
  • Assist with arranging educational activities and participate in professional development activities.

**Minimum Requirements:**

  • Knowledge of office management and secretarial procedures
  • Proficiency in grammar, spelling, punctuation, and basic arithmetic
  • Associate degree preferred
  • Three years of secretarial experience or equivalent preferred
  • One year of experience in healthcare organization preferred
