Job Title:Administrative Assistant – Commercial Team
Location: Texon Midstream
Position Summary:We are seeking a highly organized and proactive Administrative Assistant to support our commercial team of 9 professionals. This role is key in ensuring smooth daily operations, enabling the team to focus on driving business outcomes in. The ideal candidate thrives in a fast-paced environment, communicates effectively, and handles confidential information with discretion.
Key Responsibilities:
- Calendar & Meeting Management: Coordinate meetings, internal reviews, and client appointments across multiple schedules; arrange conference rooms and video calls as needed.
- Travel & Expense Support: Book travel, lodging, and transportation for team members; prepare and submit expense reports via Concur.
- Reporting & Documentation: Assist with compiling data and preparing materials for weekly meetings and bimonthly meeting presentation.
- Communication & Coordination: Act as liaison between the commercial team and other departments.
- Experience in Event Management
- Internal / External Happy Hours, Customer Trips (40 + People)
- Administrative Support: Order office supplies, manage subscriptions or shared team resources, and assist with scheduling training or offsites. Registrations for Industry Events, which include private dining events.
Qualifications:
- 2 + years of administrative experience
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), Tech Savy with Travel
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Professional demeanor with a high degree of discretion
- Experience with travel coordination (Including International)
- Flexible working hours outside of normal business hours, when needed (Travel Issues, etc.)
