The Harlem YMCA is seeking an Administrative Assistant for the New Americans Initiative. This role involves supporting program operations through administrative and office functions to ensure the quality and effectiveness of our services.
Key Responsibilities:
- Administrative Responsibilities:
- Maintain effective filing and administrative systems, manage office inventory and purchases, oversee participant use of laptops, and conduct daily inventory checks.
- Prepare reports and update documents as needed.
- Update program flyers, marketing materials, class schedules, and the program website.
- Maintain internal case files, including intake, goals, outcomes, testing, attendance, and case notes, ensuring documentation is scanned and uploaded appropriately.
- Support data entry across various systems (e.g., ASISTS, DYCD Connect, AS400, Salesforce) and generate reports for internal and external use.
- Communicate with participants regarding program information, appointments, and correspondence.
- Assist with volunteer recruitment and support.
- Contribute to reporting for government and private funders, tracking student data and achievements.
- Additional Responsibilities:
- Model hospitality best practices and foster a positive culture.
- Support all aspects of programming, including outreach, recruitment, and participant engagement.
- Participate actively in trainings, meetings, and events.
Desired Skills & Experience:
- High School Diploma/GED required; Bachelor’s degree preferred.
- At least two years of administrative experience.
- Knowledge of adult literacy, civic education, immigration legal services, and case management is a plus.
- Proficiency in Microsoft Office, especially Excel, and familiarity with Windows-based applications and database management.
- Ability to work collaboratively, establish positive relationships, and work with diverse populations.
- Self-motivated, organized, patient, and team-oriented.
