Overview

Administrative Assistant role at HealthTrust Performance Group. Location: Capitol View office, 1100 Dr. Martin Luther King Jr. Blvd., Nashville, TN 37203. HealthTrust is seeking a proactive, detail-oriented Administrative Assistant to provide exceptional administrative and operational support to our C-suite executives. You will serve as a trusted partner to senior leadership, ensuring seamless day-to-day operations, managing complex schedules, coordinating high-level meetings, and handling confidential information with discretion. Responsibilities

  • Perform a wide variety of complex, sensitive, highly responsible, and confidential administrative, secretarial and advanced clerical functions in support of assigned department employees.
  • PowerPoint presentation development.
  • Ensure adequacy of office supplies and equipment.
  • Receive, sort and distribute incoming mail; receive and interact with incoming visitors; cover the reception desk when required.
  • Provide backup support for other Assistants within the department; proactively schedule time away from the office with consideration for backup support.
  • Maintain strong interpersonal relationships with employees at all levels; proactively anticipate the needs of the team.
  • Maintain individual team member calendars; ensure calendars are up-to-date, contain pertinent information, and resolve scheduling conflicts.
  • Coordinate schedules, prioritize functions and appointments, and ensure deadlines are met; carry out other duties seamlessly.
  • Prioritize conflicting needs, handle matters expeditiously and follow through on projects to successful completion, often under deadline pressure.
  • Schedule and organize complex activities such as meetings, travel, training sessions and department activities; prepare itineraries and agendas; register staff as needed for meetings and conferences.
  • Process and submit expense reports for business expenditures.
  • Copy and assemble agendas, handouts and presentations; maintain email distribution lists.
  • Design and maintain spreadsheets and databases specific to the department; compile reports from data and existing records.
  • Proofread communications, documents, presentations and other tasks for spelling, grammar, layout, and uniformity; ensure accuracy and clarity of final versions.

Qualifications

  • Bachelor’s degree, preferred.
  • 3 to 5 years of experience supporting Executives, preferred. Will consider 7+ years of departmental support.
  • Advanced experience with Microsoft Office (Word, Outlook, PowerPoint, Excel) and experience managing multiple Outlook calendars.
  • Proficiency in Word, Excel, PowerPoint, Outlook; strong organizational skills with attention to detail; strong written and verbal communication skills.
