Overview
The Administrative Assistant role is an exciting opportunity to join a collaborative team of dedicated professionals that service Bessemer’s ultra-high net worth clients from our San Francisco office. The Administrative Assistant will provide seamless administrative support to the Client Advisory Team.
Responsibilities
- Assist in preparation of account opening documentation and account profiles
- Perform cash management functions and related transactions
- Supervise and pay client bill payments
- Prepare client presentation packages and reporting on client accounts using Excel, Word, PowerPoint
- Effective expense report preparation and management
- Optimum screening of incoming communications and routing for action and follow-up
- Professional communication with both internal and external contacts including significant client and prospect relationships
- Maintain Salesforce client records for the Client Advisory Team and manage external client mail merges, event invitations, and Salesforce reports
- Comprehensive organization of internal and external meetings as needed
- Retrieve and distribute mail, prepare FedEx shipments
- Establish effective working relationships with colleagues and external contacts and may be required to provide flexible support to other team members as required
Qualifications
- Bachelor’s degree required
- 5-7 years in financial services, including experience with cash management and related functions
- Proven ability to work well in and contribute to a team environment
- Excellent organization and communication skills
- Tact, discretion, confidentiality and good judgment in handling sensitive matters
- Ability to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy
- Excellent attention to detail and a sense of urgency and follow-through
- Flexibility and adaptability to rapid changes in the daily work environment; resourcefulness in solving problems
- Excellent computer skills (MS Office Suite, Visio, etc.)
- Proficiency in or willingness to learn company applications: Salesforce, DMS, Longview, Atlas, and CMS
Salary, Incentives, and Benefits
The base salary range for this position is $75,000 - $95,000. Actual salaries will vary based on skills, experience, and qualifications for the role. It is not typical for offers to be made at or near the top of the range.
The position may be eligible for a discretionary incentive based on individual and company performance.
Eligible employees may participate in a 401(k) program with a company profit sharing contribution, medical, dental, vision, life insurance and disability coverage, and paid holidays, vacation, and sick days.
