Administrative Assistant - Health and Wellness

Job Description
- Assist with organizing functions; preparing ads and taking registrations for events through the Senior’s Active Living Centre, Good Beginnings, and Community Wellness programs.
- Take meeting minutes and distribute as assigned.
- Organize materials and supplies for meetings and functions.
- Compile, create, and modify statistical reports as assigned.
- Input data for Health and Wellness programs using software such as Apricot, iCare, and ActiveNet.
- Produce materials including presentations, reports, minutes, invitations, and correspondence from notes or instructions.
- Assist with in-person events as needed, including setup, teardown, client engagement, equipment checks, and maintaining attendance records.
- Maintain accurate electronic and hardcopy files for administrative records.
- Handle visitors and calls, manage routine matters, and refer complex issues to the Manager.
- Provide administrative support such as copying, filing, and scanning.
- Ensure compliance with policies and maintain confidentiality of client information.
- Support the mission, vision, and values of YWCA Hamilton.
- Perform other duties as required.
WORKING CONDITIONS:
- Standard 37.5-hour work week.
- Physical effort includes lifting up to 22.7 kg (50 lbs.), bending, and stooping.
- Occasional evenings and weekends.
Qualifications
- Diploma or degree in Administrative Studies, Business Administration, or equivalent.
- At least 2 years of relevant administrative experience.
- Understanding of administrative processes supporting a multi-service department.
- Strong organizational skills, ability to prioritize, work under pressure, meet deadlines, and adapt quickly.
- Ability to manage conflicting priorities with composure.
- Excellent problem-solving, analytical, and judgment skills.
- Self-directed with the ability to work independently.
- Ability to bring a feminist, anti-racist, and anti-oppressive perspective.
- Bilingual in English/French or other languages is an asset.
- Availability for occasional evenings and weekends.
- Excellent communication skills, proficiency in MS Office including Excel and Word.
- Must provide or be willing to obtain a current Criminal Record check.
