The Southwest Connecticut Mental Health System (SWMHS), under the umbrella of the State of Connecticut, Department of Mental Health and Addiction Services (DMHAS), is seeking a qualified individual for the position of Administrative Assistant (PCN 27771) to join our team. POSITION HIGHLIGHTS:

  • Work Schedule: Monday - Friday
  • Work Hours: Full-time, 40 hours per week
  • Work Shift: First shift, 8:00 a.m. - 4:30 p.m.
  • Professional growth and development opportunities.
  • Coordinating meetings, taking meeting notes, and composing professional meeting minutes.
  • Correspondence on behalf of the Site Director and managing office incoming and outgoing mails or packets.
  • Assisting with agency events or projects planning and implementation.
  • Monitoring and managing agency postings and presentation slides show at the waiting room.
  • Data entry. Generating, compiling, modifying, and organizing various types of reports in Excel, Word, Access, SharePoint, and Adobe.
  • Managing all room reservations and Outlook calendars.
  • Collaborating and following up with the IT department regarding office phone system, computer user accounts, and other IT-related issues.
  • Monitoring and maintaining current office supplies and equipment inventory, coordinating with the Business Office for any purchasing and supplies requests.
  • Monitoring office environment and state vehicles, submitting work requests and monthly mileage sheets to the Plant Operation department.
  • Organizing and managing administrative and confidential digital and paper files.
  • Supervising the office assistant and providing backup coverage for the reception. Answer calls, greet and direct visitors/clients, take messages, and communicate with security, agency staff, and providers.

SWCMHS has a large population of Spanish-speaking clients along with significantly psychiatrically impaired clients needing our services which requires a high degree of sensitivity, compassion, and patience. Part of delivering recovery-oriented services includes providing culturally appropriate services.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

One (1) year of the General Experience must have been as a Secretary 2 or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of 15 semester hours equaling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

  • Experience working in a health care or behavioral health care setting.
  • Experience with Microsoft Outlook, Teams, Word, Excel, Access, PowerPoint, Publisher, SharePoint, and Adobe.
  • Experience with professional note-taking and meeting minutes writing.
  • Experience with multitasking and prioritizing new tasks as they come in.
  • Experience utilizing interpersonal communication professionally.
  • Experience utilizing time management and providing customer service skills to coworkers and clients.
